Job Summary:

The Contracts Assistant facilitates the contract lifecycle management process. Responsibilities include collecting, tracking, and routing contracts; updating electronic databases; maintaining files; reviewing standardized language, agreements, and insurance compliance.

Requirements

Essential Duties and Responsibilities:

  • Daily updating various charts and database for accurate proposal and contract information.
  • Ensure subcontractors are in compliance and obtain proper documentation and tracking of subagreements, certificates of insurance and subbonds.
  • Assist with the lien policy including managing documentation and tracking.
  • Assist with receivables policies including documentation and tracking.
  • Perform due diligence and compliance on new projects for customers and related parties, subcontractors, and new suppliers and vendors. 
  • Monitor and tracking of all Certificates of Insurance including requesting COI for all newly awarded projects, monitor expirations for COIs for all projects, customers, and vendors, and follow up on expiring COIs as necessary to ensure compliance.
  • Analyze data and set up new projects. 
  • Ensure compliance with all policies and procedures for new projects. Prepare necessary forms for proposals and updates to database and all related charts. 
  • Take responsibility of all assigned tasks.
  • Maintain accurate and current calendar and scheduling updates.
  • Work on other projects as necessary. 

Qualification/Requirements:

  • Collects, summarizes and analyzes data required for contract duties. 
  • Strong planning, organizing and scheduling abilities. 
  • Ability to follow through, work successfully individually and as a team player.
  • Possess a strong attention to detail. 
  • Minimum 5+ years of relevant experience. 


Education/Experience:

  • Minimum High School Diploma: AA degree preferred
  • 5+ years of relevant experience
