The Medical Records & Scheduling Assistant plays a crucial role in maintaining accurate health records, coordinating resident appointments and transportation, and ensuring compliance with HIPAA regulations. This position requires strong organizational skills, attention to detail, and the ability to work in a fast-paced healthcare environment while upholding confidentiality and accuracy in medical documentation. The Medical Records & Scheduling Assistant is vital in ensuring accurate documentation, seamless scheduling, and regulatory compliance. This position requires a proactive and detail-oriented professional to support the smooth operation of healthcare services. The Medical Records & Scheduling Assistant plays an integral part in upholding patient privacy and record accuracy while facilitating efficient medical coordination. As a key team member, the Medical Records & Scheduling Assistant ensures all aspects of medical documentation, scheduling, and administrative support run smoothly.
- Organize, maintain, and safeguard patient records.
- Process legal and medical record release requests in compliance with HIPAA.
- Securely manage digital medical records, including encryption and access control.
- Assist with audits, file retention, and compliance tracking.
- Schedule resident medical appointments and coordinate transportation logistics.
- Maintain an accurate trip calendar and insurance verification records.
- Communicate with families and staff regarding appointment updates and transportation needs.
- Handle last-minute transportation requests and ensure all required documentation is completed.
- Supervise medical records staff in the absence of the Administrative Manager.
- Delegate tasks, track completion, and ensure department efficiency.
- Assist with audits, reports, inventory tracking, and spreadsheets.
- Prepare legal medical records and ensure all documentation is accurate.
- Maintain and track invoices, mailing records, and authorization logs.
- Follow HIPAA protocols in handling sensitive legal and medical information.
- Provide receptionist support and assist with medical records clerical tasks.
- Deliver unit supplies and maintain accurate filing systems.

- Minimum High School Diploma or High School Equivalent
- Office working experience in a healthcare setting (hospital, nursing home, or medical office) preferred.
- Knowledge of medical terminology, EMR systems, and HIPAA regulations.
- Strong communication, time management, and multitasking abilities.
- Proficiency in Microsoft Office and secure document handling.
- Ability to manage sensitive information with confidentiality and professionalism
- Exemplary customer service skills
- Attention to detail and ability to handle sensitive information securely.
- Excellent communication skills, both verbal and written.
