Description

We are seeking a dedicated and experienced Pediatric Office Manager to oversee the daily operations of our pediatric dental office in Lancaster, PA. The ideal candidate will ensure smooth workflow, high-quality patient care, and an efficient and supportive work environment for both staff and providers.


Schedule:

Monday-Thursday 7:30am-5:30pm

Fridays 7:30am-4:30pm


Key Responsibilities:


Office Operations & Administration:

  • Oversee the day-to-day administrative functions of the pediatric office.
  • Ensure compliance with HIPAA, OSHA, and all relevant healthcare regulations.
  • Maintain patient scheduling, billing, and insurance processes for efficiency.
  • Develop and implement office policies and procedures to improve patient experience and office productivity.
  • Manage inventory and ordering of office and clinical supplies.


Staff Management & Leadership:

  • Supervise front desk staff, dental assistants, and other team members.
  • Conduct staff training, performance evaluations, and conflict resolution.
  • Develop work schedules to ensure appropriate staffing levels.
  • Foster a positive, team-oriented office culture.


Patient Experience & Customer Service:

  • Ensure exceptional customer service and a welcoming environment for children and families.
  • Address patient concerns, complaints, and feedback in a professional manner.
  • Monitor and improve patient wait times and overall office efficiency.


Financial & Insurance Management:

  • Oversee billing, coding, and insurance claims processing.
  • Work closely with billing specialists to reduce claim denials and optimize revenue cycle management.
  • Manage office budget, expenses, and financial reporting.
Requirements

Qualifications:


Education: Bachelor’s degree in Healthcare Administration, Business Management, or a related field preferred.


Experience:

  • 3+ years of experience in medical, dental, or pediatric office management.
  • Experience with EHR/EPM systems (e.g., Dentrix, EPIC, or similar).
  • Knowledge of insurance verification, billing, and coding (medical or dental).


Skills:

  • Strong leadership and organizational skills.
  • Excellent communication and customer service abilities.
  • Ability to multitask and problem-solve in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
