Job Summary:
We are seeking a detail-oriented and highly organized Operations Assistant to join our team. The DOXA operations team supports the corporate office as well as our business units in various manners. We do everything from ordering and stocking our supplies to mail processing to collating and send claims checks. The ideal candidate will thrive in a fast-paced environment, possess strong analytical skills, and have a keen eye for accuracy.
Key Responsibilities
· Receive, process, and distribute incoming mail for multiple DOXA businesses, ensuring timely scanning and delivery to both on-site and remote staff.
· Organize and label documents systematically for easy retrieval.
· Manage outgoing mail with accuracy and efficiency, including:
- Verifying addresses, checking for duplicates, and selecting appropriate shipping methods (USPS, FedEx, certified, overnight, etc.).
· Matching outgoing checks with backup documentation before mailing.
· Scanning and saving all outgoing checks to the designated network drive.
· Maintain postage supplies, including ordering stamps, FedEx materials, and other mailing resources.
· Provide operational support across multiple businesses, including mailing and processing critical time-sensitive documents.
· Oversee office operations by managing supply orders, shipping materials, forms, and marketing materials.
· Ensure conference room, office spaces, and kitchen are stocked and maintained in an organized manner.
The ideal candidate would possess the following attributes:
· Minimum of 2 years working experience in a professional environment
· Undergraduate degree or similar education or work history
· Excellent organization and communication skills, both oral and written
· Proficient with MS Office applications (Outlook, Word, SharePoint) with working knowledge of Adobe Acrobat (PDF).
· Positive attitude and good working with multiple people
· Desire to learn and grow with the business.
