Job Summary:

The Preschool Assistant Director plays a vital administrative role within the parish. Working alongside the Director, they help maintain the pastoral, administrative, and facility needs of the preschool, ensuring alignment with both the preschool and parish missions.  This position is a full time hourly position that work 30 hour/week, 11 months/year.

Essential Job Duties: 

· As an integral part of your ministry for the Church as carried out in this position, support and uphold the philosophy of Catholic ministry and the mission of St. Thomas More Catholic Church in both your professional and personal life.

· Act as a witness to Gospel values by modeling the teachings of the Catholic Church.

· Continuously grow in your ministry by participating in religious ceremonies, training sessions, and reflection activities as directed.


Financial Responsibilities:

· Reconcile monthly tuition payments.

· Monitor and follow up with tuition payments that are not processed appropriately and ensure that all tuition payments are made. 

· Deposit all preschool funds.


Administrative Responsibilities:

· Assist the Director in meeting and maintaining the Texas Department of Human Resources minimum standards and all other licensing requirements. 

· Maintain employee records.

· Maintains the accuracy of the student database which includes admissions and attendance records. 

· Coordinate the hiring and training of substitutes and update the substitute list as needed.

· Maintain class lists, substitute lists, and teacher roster.

· Manage Preschool website and social media accounts. 

· Attend Workshops, seminars, and administrative programs that are relevant to the operation of the Preschool.

o Meet the required 24 hours per year of continuing education courses outlined by the Texas Department of Human Resources. 

· Monitor that all preschool staff members meet the required 24 hours per year of continuing education courses outlined by the Texas Department of Human Resources. 

· Monitor that all staff members, substitutes, and volunteers meet the required EIM certification requirements.

· Maintain communication and a working relationship with the Pastor and all other Church staff members as well as all Church Ministries.

· Support the Preschool Director in all events and functions.


Supervision of Staff Responsibilities:

· Supervise the employees of the preschool, which includes all teachers and teacher assistants in the absence of the Director. 

· Collaborate with peers to enhance the work environment and support instructional planning

· Conduct classroom observations of new teachers and teacher assistants regularly.

· Conduct orientation of new staff members.


Student Enrollment Responsibilities:

· Acts as the main point of contact for prospective families, ensuring timely communication and managing the admissions process from initial inquiry to enrollment.

· Oversee the organization and execution of the annual registration process and Open House event.

· Contributes valuable insights and input into the strategy and design of marketing efforts aimed at encouraging prospective families to consider St. Thomas More Preschool.

· Maintain enrollment to meet the projected budget by maintaining wait lists when necessary, filling student vacancies as promptly as possible, and continuing advertisement for preschool for any vacancies that exist. 

· Assure that all enrollment and medical forms are complete and filed as required by licensing.


Facilities Management Responsibilities:

· Assure that all preschool facilities are functional and maintained.

· Ensure a clean facility and provide timely and detailed event set-up requests. 


Student Needs Responsibilities:

· Assist teachers with children who are ill. The preschool office serves as the infirmary for the preschool.

· Assure that the current curriculum, expectations, and guidelines are implemented in every classroom.


Curriculum/Assessment Responsibilities:

· Be familiar with the preschool curriculum and student assessments. 

· Order all materials and supplies that support the curriculum.

Minimum Qualifications:


Education and Training:

· College graduate or equivalent early childhood experience.


Experience: 

· Three to five years of experience in early childhood.

· Equivalent experience in supervision and maintenance of records.

· Excellent computer skills and experience in Microsoft Office or Google Workspace.

· Ability to learn other software (Canva, Cognito Forms, etc).

· Leadership qualities.


Language:

· English


Licenses/Certifications

 · Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.

Salary Description
$24/hour, 30 hours/week, 11 month/yr
