Records & Data Specialist
Description

The Records and Data Specialist of Lourdes University is responsible for assisting the   registrar with all aspects of student registration and records, while   maintaining the strictest confidentiality. Ensures the administration of   quality customer-oriented services are consistent with university policies,   regulatory, regional, and national standards. Respectful collaboration with   others in the recommendation and implementation of continuous improvements in   processes, procedures, and practices for all assigned areas that models and   supports the university mission and values.


Primary Duties 

  • Data entry of transfer credits
  • Conducts operation of all transcript requests and other mailings
  • Manage data sharing and transcript inquiries for courses and credits
  • Process grade/name/address changes, registration forms, enrollment verifications and major changes for student requests
  • Assist in maintaining and updating all student files which in includes document imaging
  • Perform data entry and review/audit as needed
  • Support commencement activities and degree audits at the end of each semester
  • Organize degree candidate’s audit file/report for validation purposes
  • Maintain confidentiality guidelines in compliance with FERPA regulations
  • Assist Registrar to facilitate any reporting and data requests from other departments within the university
  • At the direction of the Registrar, assist other members of the department with additional duties as assigned


ADDITIONAL RESPONSIBILITIES:

  • On-site work required. Evening and/or weekend meetings and events required. Maintain flexibility with working hours
  • Maintaining a cooperative working relationship within Registrar’s Office and throughout university is expected.


Requirements
  • Familiarity with an integrated administrative software package (Anthology preferred)
  • Working knowledge of FERPA and other student record standards
  • Familiarity with Word and Excel
  • Excellent oral written and interpersonal skills
  • Ability to problem solve and capacity to prioritize conflicting demands
  • Ability to gather facts and analyze situations objectively, accurately and in an organized manner
  • Attention to detail and ability to meet deadlines
  • Positive and professional attitude with the ability to plan for and adapt to change


Qualifications 

  • Associates/Bachelor’s degree preferred  
  • 2-3 years of higher education experience preferred 
  • Experience in data entry or microsoft suits required.
