POSITION OVERVIEW:
The Camp Engagement & Registration Coordinator plays a vital role in ensuring a seamless registration process while fostering strong relationships with campers, families, volunteers, and community partners. This position is responsible for managing camper enrollment, supporting recruitment efforts, coordinating guest services for camp and retreat programs, overseeing the camp store, and serving as a key contact for volunteers. The position reports directly to the Executive Director and is a full-time hourly team member. The ideal candidate is highly organized, detail-oriented, comfortable with technology and management systems. They are able to work both collaboratively and independently to enhance the overall camp experience and mission of the YMCA.
KEY RESPONSIBILITIES:
Camper Enrollment & Recruitment
- Manage the registration process, ensuring accuracy and clear communication with families.
- Engage in recruitment efforts through outreach, events, and partnerships with community organizations.
- Maintain records, process financial assistance applications, and track enrollment trends.
- Attend community events, when appropriate, to promote camp programs and engage with prospective campers and family
Guest Experience & Communication
- Serve as the primary contact for families, ensuring excellent customer service and timely responses.
- Coordinate with Camp leadership to promote camp opportunities and updates via email, website, camper forms, and other correspondence.
- Support retreat guest services, assisting with logistics and hospitality for visiting groups.
- Supporting Survey send outs and responses through the Camp survey system.
Camp Store & Office Operations
- Manage inventory, ordering, and sales to ensure a well-stocked and efficiently run camp store.
- Maintain daily office operations.
- Ensure maintenance and upkeep of all office equipment and supplies.
Volunteer & Advisory Board Engagement
- Manage the volunteer management system for camp, coordinating schedules and responsibilities.
- Develop and maintain collaborative relationships with community organizations.
- Serve as liaison for the Camp Advisory Board, scheduling meetings, preparing materials, recording minutes, and distributing communications.
- Foster relationships to encourage ongoing engagement and support for camp initiatives.

QUALIFICATIONS:
Core Skills & Abilities
- Strong communication and presentation skills with confidence speaking to groups and representing Camp Kirkwood.
- Ability to build positive relationships with families and provide excellent customer service.
- Highly organized with strong attention to detail and ability to manage multiple tasks.
- Works effectively both independently and as part of a team.
Technology & Administrative Skills
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience tracking registration data, generating reports, and supporting program decisions.
- Comfortable using registration databases, CRM systems, and digital communication tools.
Marketing & Engagement (Preferred)
- Experience with marketing, outreach, or community engagement.
- Ability to promote camp through events, presentations, tours, social media, and family communications.
- Creative in sharing the impact and story of camp with prospective families.
Education & Experience
- Background in customer service, hospitality, youth programs, recreation, marketing, or community engagement.
- Passion for the YMCA mission and creating meaningful experiences for youth and families.
WORK ENVIRONMENT & PHYSICAL DEMANDS:

WORK SCHEDULE:
This is a full-time onsite position requiring M-F some flexibility, including occasional evenings and weekends, especially during peak camp seasons and recruitment events. The role involves a combination of office-based tasks, on-site camp responsibilities, and community outreach.
YMCA SAFETY REQUIREMENTS:
CPR & First Aid – Must be able to complete and maintain certification in CPR and First Aid; able to assist individuals in need until professional help arrives.
Emergency Response – Ability to quickly identify emergency situations (medical, fire, environmental, etc.) and respond appropriately following established procedures.
Incident Management – Required to report all safety incidents and hazards immediately and accurately to supervisors.
Safe Environment – Commitment to maintaining a safe, clean, and hazard-free environment for all staff, members, and participants.
Physical Readiness – Must be able to perform physical tasks related to safety, including assisting individuals of various ages and physical abilities.
