Job Summary:

The Calendar Administrator's primary responsibility is calendar management, which is maintaining and coordinating usage schedules via our calendar software (currently Momentus/VenueOps) for all AT&T Performing Arts Center venues and all Center events taking place off-campus. The Calendar Administrator supports the programming department's day-to-day operations, including expenses, reconciliations, financial tracking and reporting, and coordinating department activities. They will assist with contract and payment tracking for Center Presents, Broadway, Rentals, and other special projects as assigned.

This position requires a detail-oriented, highly organized team player with excellent interpersonal skills who works seamlessly and efficiently with AT&T Performing Arts Center staff and with end users of the facilities. Essential skills include thriving in a fast-paced, ever-changing environment while maintaining high professionalism. Must be a self-starter and work autonomously using independent judgment. A positive attitude towards the position and the Center’s Core Values is imperative.

Position Responsibilities:

  • Responsible for overall calendar management and event bookings for all constituent groups, including Broadway, concerts, speakers and comedy, private rentals and meetings, and the Center’s Resident Companies.
  • Oversee user administration of the calendar, such as adding, orienting, and assisting users
  • Provide general administrative support to the programming and venue sales department and department leadership by promptly completing various projects and tasks, including expense tracking, meeting and calendar coordination, and minute-taking.
  • Ensure timely responses to new event inquiries
  • Coordinate lodging and transportation needs for talent as agreed to per contract
  • Maintain and ensure meticulous data entry in Momentus/VenueOps Event Management system 
  • Update and distribute weekly VenueOps reports
  • Track, schedule, and process settlements, expenses, and artist payments with the finance department through the organizational financial system
  • Lead weekly calendar coverage meeting
  • Report on venue and user usage, including Resident Company billable usage for both internal users and external requests including PAC Stats
  • Interpret and implement lease agreements for all Resident Companies and resolve booking-related disputes.
  • Ensure the Center's core values are being adhered to
  • Other duties as assigned

This position is a full-time, non-exempt position, paying an hourly rate of $19-$21/hour. 

Requirements

Qualifications:

Education and/or Experience:

  • Bachelor's Degree preferred, but equivalent experience and passion for the performing arts are also considered a plus

Experience & Skills:

  • VenueOps experience a plus
  • Ability to understand, interpret, and summarize complex lease agreements and contracts, preferable
  • Excellent administrative, organizational, communication, and interpersonal skills
  • Superior customer service and sales skills
  • Comfortable with Microsoft Office Suite preferred (Outlook, Word, Excel)
  • Should be able to work on multiple projects simultaneously while being able to prioritize and move each project along to meet deadlines and remain calm in stressful situations
  • Self-motivated with strong organizational skills, meticulous and precise attention to details
