Summary of Position

The Event Coordinator is responsible for the exection of the Weekender process and for “Big Day” events, budget management, event calendar, event volunteer teams, and project management of all central events at Mercy Hill. This will require a high level of organizational skill, the ability to work well in team environments, and the ability to raise up and lead volunteer teams.


Job Competencies

1.  Organizational Skill - Event coordinators need exceptional organizational skills to handle multiple tasks simultaneously. They must be able to manage timelines, logistics, vendor contracts, and guest lists, ensuring everything aligns with the event's objectives and schedule. This includes attention to detail, task delegation, and effective time management.


2.  Communication Skills - Effective communication is essential for interacting with clients, vendors, staff, and guests. An event coordinator must be able to convey information clearly, manage expectations, and handle any issues that arise with professionalism. Strong written and verbal communication ensures smooth operations before, during, and after the event.


3.  Problem-Solving Abilities - No event goes perfectly as planned, and an event coordinator must be quick to identify and solve problems as they arise. Whether it’s an issue with a vendor, an unexpected weather change, or last-minute guest requests, problem-solving skills are crucial for adapting to challenges and maintaining a positive experience for all involved. 


4.  Budget Management - Keeping events within budget while still delivering high-quality experiences is a critical skill. Event coordinators must know how to allocate funds efficiently, negotiate with vendors, and keep track of expenses throughout the planning process. Staying within budget ensures the financial success of the event while still meeting client expectations.


5.  Attention to Detail - From ensuring the event venue is set up correctly to monitoring small details like décor, signage, and guest accommodations, an event coordinator must have an eye for detail. This competency ensures that all aspects of the event are seamless and professionally executed, leading to a memorable and successful experience for attendees, including the volunteer experience.


Qualifications

1. Education – bachelor’s degree preferred, or equivalent experience. High school diploma required.

2. Experience – 3-5 years of experience in project management and team leadership.

3. Organization – ability to handle multiple responsibilities at once; manage information; and develop ongoing systems


Duties and Responsibilities

1. Coordinate and execute all pre-event logistics and all aspects of the Friday night portion of the Weekender.

2.  Manage the Mercy Hill Event Calendar

3.  Manage internal processes related to event scheduling and execution. 

4.  Manage budget categories related to Mercy Hill Events/Big Days.

5.  Work with Mercy Hill Ministry teams to ensure successful execution of central events and Big Days.


Miscellaneous Responsibilities

This job description is not meant to be an all-inclusive statement of every duty and responsibility that will be required of an employee in this position. Therefore, additional duties, including but not limited to the following, may be assigned:

• Provide assistance with miscellaneous duties during the gathering, including first steps, baptisms, communion, etc.

• Host a table or serve at Weekender and/or Mercy Hill events.

• Assist in various ways with large-scale events like Kids Week, Fall Launch, etc.
