JOB DESCRIPTION
Summary/Objective
A successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our executive team. We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing primary support to our President Data Mining and Recovery, Chief Operating Officer, and President Emeritus, assisting in daily office needs and managing our company’s general administrative activities. This is an independent role and requires an individual capable of acting and completing tasks with minimal supervision.
The Administrative Assistant responsibilities include making travel and meeting arrangements relative to client (current and potential) meetings, calls, and visits, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills, proven organization skills, competency with MS Office and Excel. This position will have access to personal and confidential information and will need to execute non-disclosure and non-compete agreements as a pre-condition to employment as well as demonstrate the ability to keep such information confidential.
Essential Functions
- Answer and direct phone calls for Executives
- Manage APU business email account for President Emiritus
- Organize and schedule appointments, calls, internal & external meetings (Outlook/Microsoft Teams)
- Assist in the preparation of regularly scheduled reports / presentations. (Excel and PowerPoint) – includes daily operations reports and monthly employee standup
- Research/report as requested on business matters.
- Notary (preferred but not required).
- Submit and reconcile expense reports.
- Provide broad support to visitors, including hotel and meal coordination.
- Consult with executive and senior administrative assistants to manage requests and queries from senior managers both internal and external.
- Liaise between employees and Executives.
- Access/Review incoming APU Business email for President and flag important client email for follow-up (Inform President, COO and CEO)
- Proofread emails, documents, reports as requested.
- Other duties as directed by the President Data Mining and Recovery or COO.

Technical Abilities
- Proficient in all Microsoft Office software with an emphasis in Word, Excel, and PowerPoint.

Education and Experience
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- Minimum 5 Years Executive Administrative Experience, or similar administrative multi-tasking position required.
Work Authorization

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands

While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to sit for an extended period; stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of operations are Monday through Friday, 8 a.m. to 5 p.m. This position requires work time outside of the normal hours.
Travel
Travel is primarily local during the business day, although there could potentially be some out-of-the-area and overnight travel for a sales conference.
