ADMINISTRATIVE OFFICE COORDINATOR
Description


As the Administrative Office Coordinator, you will be the first point of contact for visitors, including customers, vendors, contractors, and prospective employees. This role ensures smooth administrative operations across multiple departments while maintaining a professional and welcoming environment. The ideal candidate will be highly organized, detail-oriented, and capable of managing multiple tasks efficiently.

Key Responsibilities:

  • Greet and assist all visitors professionally and courteously.
  • Answer incoming calls and provide first-class assistance to callers.
  • Document and communicate attendance line calls to respective managers.
  • Maintain and update the attendance tracking system.
  • Manage the visitor log and ensure compliance with security procedures.
  • Coordinate meetings, including scheduling and arranging food and beverages.
  • Conduct daily walk-throughs to ensure office areas, conference rooms, and break spaces are stocked and maintained.
  • Order and manage office supplies inventory.
  • Ensure the lobby and office areas are clean and present a positive company image.
  • Receive, sort, and distribute incoming mail.
  • Work with Receiving and Purchasing to verify deliveries against purchase orders.
  • Prepare new hire folders for agency and direct hires.
  • Create employee badges/IDs for new hires.
  • Assist with Spanish translation of documents, meetings, and other tasks as needed.

Required Qualifications:

  • High school diploma required; some post-secondary education preferred.
  • 2+ years of administrative experience, preferably in a front desk role.
  • Proficiency in MS Word, Excel, and Outlook.
  • Strong verbal and written communication skills in English & Spanish.
