Job Title: Executive Assistant
Supervisor: Director of Human Resources
Nature of Position: This position will be responsible for assisting High Country Community Health’s (HCCH) Chief Medical Officer, Chief Dental Officer, and Chief Behavioral Health Officer.
Responsibilities:
Provides administrative support to ensure efficient operation of HCCH offices.
Tracks and coordinates schedules for providers in three departments.
Completes operational requirements by scheduling and assigning administrative projects and expediting work results.
Exhibits polite and professional communication via phone, e-mail, and mail.
Supports the clinical C-Suite team by performing tasks related to organization and strong communication.
Provides information by answering questions and requests for clinical staff across three departments.
Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.
Manages the day-to-day phone and electronic communication of assigned C-Suite members, as requested.
Demonstrates ability to multitask by following up and/or following through on multiple projects.
Contributes to team effort by accomplishing related results as needed.
Any other duties as assigned.
Specific Job Duties:
Coordinate Providers’ Paid Time Off Requests, Timesheets, Travel Expenses, and Continuing Medical Education requests.
Prepare agendas for provider meetings and take meeting minutes.
Schedule appointments for clinical C-Suite team.
Maintains High Country Community Health organizational files.
Composes correspondence as assigned and disseminates correspondence to appropriate individuals.
Helps to maintain the integrity of organizational documents, contracts, policies, and other documents by monitoring the effective dates and maintaining these.
Is responsible for solicitation of license renewal applications.
Coordinates educational activities for clinical trainees.
Tracks supervision requirements for providers to ensure compliance with state regulatory agencies.
Qualifications
5+ years of experience supporting C-Suite level managers in an executive assistant or office manager capacity (preferred)
Associate Degree or higher education (or, in lieu of Associate Degree, 7+ years of experience as described above).
Proficiency in using Google Suite and Microsoft Office Suite.
Proven ability to manage and follow through on multiple projects and tasks from multiple C-level managers.
Ability to commute to Boone, NC and surrounding area Monday through Friday (infrequent overtime and weekends).
