EHS Program Assistant - Center Based
Description

POSITION SUMMARY

The Program Assistant-CB will assist the center-based management team to effectively operate a high quality EHS childcare program in accordance with the Head Start Performance Standards. Job duties will be related to various service area and will provide program information to the participants family related to education, health, disability, and mental health services; assist with providing program support to staff, which includes using ChildPlus, Early Head Start PIR (Program Information Report), and other program data including the Child and Adult Care Food Program (CACFP). Assist program staff in conducting all programmatic and administrative services.


ESSENTIAL DUTIES & RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Administrative support to Center-based Manager.
  • Administrative and communication support to parents and Center teachers.
  • Order necessary materials, maintain supply level and inventory at Center
  • Process PO, invoices, and check to staff and vendor
  • Maintain log of delivery, donations, and visitors at Center
  • Assist entering CACFP program data and with the financial department for invoice purposes. 
  • Assist with verbal and written Spanish translation as needed
  • Support coordination and implementation of training, meetings, activities and events.
  • Assist in the preparation of correspondence, flyers, documents, forms, notes and spread sheets.
  • General clerical duties; answering phones, filing, equipment set-up, scheduling and coordinating events, event locations and contacting attendees, etc.
  • Assist in tracking of the Center month to month expenses 
  • Travel to other locations (storage facility to pick up necessary items, pick up online orders or return items to vendors).
  • Demonstrate ability to work independently and as an effective member of a multidisciplinary team.
  • Document services, time and expenses in accordance with EHS, and LAEP policies, rules, regulations, and program procedures.
  • Cover Teacher breaks, lunch or subbing when necessary  
  • Maintain a professional attitude, confidentiality, and respect for cultural differences.
  • Work flexible hours in order to meet the needs of families or Center schedule (e.g., evenings or Saturdays and /or different locations).
  • Assist in closing duties for Center 
  • Perform other duties as assigned
Requirements

QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

  • Preferably supplemented by some related college-level coursework (6-12 Early Childhood units). 
  • High School Diploma or GED is Administration certificate preferred or work experience in clerical/administrative
  • Early Head Start knowledge – minimum 3 years working in the EHS/HS field 
  • Data entry and ability to handle multiple tasks and projects simultaneously.
  • Knowledge and experience using Virtual Platforms such as Microsoft Teams and Zoom to set up and conduct meetings to actively participate and support program.
  • Proficiency with computer applications such as Microsoft Suite and the Internet. 
  • Bilingual in English and Spanish is preferred
