We have an exciting opportunity for a Support Staff II to join our team of talented professionals.


As a Support Staff II in our Early Childhood Prevention and Intervention program, you will primarily be responsible for the general clerical, receptionist, appointment scheduling and electronic health record management duties. Hours are based on program needs, Monday through Friday between 8:30 a.m. – 7:00 p.m. Some evenings required to accommodate client appointments, totaling 37.5 hours/week.


Additional responsibilities include the following:

  • Answer incoming phone calls on a daily basis.
  • Make appointment reminder calls, complete electronic check in, and collect co-pays.
  • Process intake, annual and other documentation in Electronic Health Record (EHR).
  • Work in coordination with other support staff, clinical staff, and program leaders.
  • Provide backup coverage for department.
  • Coordinate and order office supplies for the program.
  • Attend meetings, take notes, distribute as assigned.
  • Send correspondence and copies as requested.
  • Manage administrative office and equipment associated with the office.
  • Organize special events within the department, such as Family Literacy Events.
  • Monitor activity specifically related to monthly billing statements.
  • Create and maintain databases and generate reports. 
  • Cover reception desk.
  • Complete required program, agency, funder, and/or position specific training on an annual basis.
  • Other duties as needed.
Requirements

To qualify for this position, you will need the following:

  • High School diploma with a minimum of 2 years clerical/reception experience; proficiency in a variety of computer programs, especially Microsoft Excel and word processing software, and dedicated software systems; excellent written, verbal, communication, organizational and multi-tasking skills.  
  • Must be able to attend to details, track and prepare data accurately and in a timely manner.  
  • Must have the ability to interpret a variety of instructions furnished in writing, or orally.  
  • Additional requirements include a nonjudgmental approach that reflects cultural competency and sensitivity to the unique needs and diverse experiences of our staff members and the programs they represent.  
  • Must have the ability to appropriately handle crisis situations.
