CHILDREN’S MINISTRY ADMINISTRATOR (CENTRAL)
REPORTS TO: CHILDREN’S MINISTRY PASTOR
RELATES CLOSELY WITH: CHILDREN’S MINISTRY TEAMS, CHILDREN’S SERVE TEAMS, CAMPUS STAFF TEAMS
CLASSIFICATION: FULL-TIME/HOURLY (SUN-THUR)
SALARY RANGE: $50K - $65K NON-EXEMPT
WestGate Church, a non-denominational, multi-congregational church situated in one of the most diverse and influential regions of the world—the Silicon Valley—is seeking an energetic, skilled Children’s Ministry Administrator to support the Children’s Ministries across all campuses. This full-time role (Sunday - Thursday) may require occasional work on Fridays and Saturdays as well as evening hours, providing exceptional ministry-related administrative assistance to the children’s staff and church body.

PROFESSIONAL QUALIFICATIONS
- Minimum of 2 years of administrative experience.
- Positive, professional, self-starter with the ability to organize and prioritize responsibilities and projects with minimal direction.

- Exhibits personal and professional discernment and discretion.
- Ability to multitask and manage multiple projects simultaneously with excellent time management and attention to detail.
- Highly organized with the capability to execute logistics for large-scale projects overseen by the Children’s Ministry Pastor.
- Proficient in Google Workspace (Docs, Sheets, Slides, Drive) for collaboration and document management.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) for effective document creation, data analysis, and presentations.
- Superior communication skills: written and verbal.
PRIMARY RESPONSIBILITIES
- Support Children’s Ministry Pastor as needed.
- Partnering with the Children's Ministry teams to support thorough planning and implementation of all things children's.
- Track, order and maintain Office supplies for Children’s offices.
- Order children's church curriculum and ensure curriculum is distributed timely to each director.
- Maintain Children’s Ministry events calendar and resource reservations.
- Input all children’s ministry programs, events, and meetings on the church calendar.
- Communicate important information and reminders to Children’s staff.
- Maintain and update all workflows for Children’s Ministry.
- Coordination and onboarding of Children’s Ministry serve team.
- Coordinate parent/child dedications.
- Work with the administrative team to manage and update church databases.
- Ensure adequate publicity of children’s events. Prepare and distribute monthly newsletter for the children's church using MailChimp.
- Create & manage all Children’s event registrations.
- Assist in the preparation and implementation of ministry events and activities, including KidzCamp.
- Support Children's team during children's events & Holiday Services.
- Communicate with and track Children’s Ministry volunteers
- Manage miscellaneous administrative tasks such as making signs, nametags, labels, and sign in sheets for children’s ministry programs and events.
- Maintain proper accounting and reporting of credit card use.
- Other duties as assigned.
