Texas Research International (TRI), a group of profitable privately-owned companies with 145 employees and $50M in revenue, is seeking a Payroll/HR Specialist to support our Director of HR with recruiting, on boarding, and other HR related administrative duties. Additionally, this role will support the Payroll Manager, by running payroll, completing benefit and payroll reconciliations, and supporting compliance reporting and audits as needed.
How You Will Make an Impact
We are seeking a detail-oriented and experienced HR/Payroll Specialist to manage the end-to-end payroll process across multiple entities. This role is critical in ensuring accurate and timely payroll processing while maintaining compliance with federal, state, and local regulations. Additionally, we are seeking an individual to be involved in the recruiting and on-boarding process by supporting the HR Director with numerous administrative duties to ensure a professional and smooth transition for all potential and new employees.
Key Responsibilities (Payroll):
- Oversee the full payroll cycle for both salaried and part-time employees across six entities.
- Process monthly, quarterly, and annual bonuses, commissions, and off-cycle payrolls.
- Reconcile payroll-related accounts with the accounting team and resolve discrepancies.
- Conduct quarterly and year-end payroll balancing and reconciliations.
- Ensure accurate year-end distribution of W-2s.
- Audit payroll transactions to identify and resolve cost issues.
- Compile and complete payroll audits as required.
- Audit time and attendance records to ensure accuracy.
- Manage employee payroll updates, including W-4s, pay changes, retirement deferrals, promotions, transfers, and terminations.
- Administer garnishments, child support orders, tax levies, and other income withholding orders.
- Process health, welfare, and retirement benefit deductions in accordance with regulations and company policies.
- Generate and analyze ad hoc payroll reports as needed.
- Drive process improvements to enhance payroll efficiency and accuracy.
- Serve as a point of contact for employee payroll inquiries, providing clear and accurate information.
- Collaborate closely with Benefits, HR, and Accounting teams to ensure payroll accuracy.
Key Responsibilities (Human Resources):
- A point of contact for employees and contractors during Onboarding and Orientation.
- Manage collection of and track onboarding paperwork for employees and contractors as well as ongoing licensure and other documents necessary to maintain compliance with state and federal agencies.
- Assist HR Director in responding to employee inquiries related to HR processes, policies, benefits, and other HR-related matters as needed.
- Maintains the integrity and confidentiality of human resources files and records. Performs periodic audits and review of HR files and records to ensure that all required documents are collected and filed appropriately.
- Process employee status updates including but not limited to personal information changes, promotions, transfers, terminations, salary adjustments.
- Assist in programs and training related to retention and employee engagement.
- Facilitate candidates through the recruiting process.

Qualifications:
- Bachelor's degree in Human Resources, Business Administration, Finance, or related field or equivalent years of education and experience required. Relevant HR certifications (e.g., SHRM-CP, PHR, or CPP) are a plus.
- Experience with Paylocity is preferred.
- Minimum of three years of payroll and HR experience.
- Strong knowledge of federal, state, and local payroll regulations for Texas, California, South Carolina, Pennsylvania, Minnesota, Montana, Florida, New York.
- Excellent communication skills to provide guidance and ensure accurate documentation.
- Proficiency in Microsoft Office Suite, especially Word and Excel.
- Ability to work in a fast-paced, growing organization while maintaining high attention to detail and accuracy.
- Ability to work effectively with others with tact and discretion and demonstrate a high level of confidentiality in all matters.
