The Team Building Coordinator shares responsibility for the development, implementation, and facilitation of all team building and conference groups attending Frost Valley. Team Building and Conference groups come to Frost Valley for uniquely customized programs. The Team Building Coordinator works with these groups to plan out a Team Building program delivery or to organize meeting spaces and other conference needs.
Additionally, the Coordinator has joint training and observation responsibility for the 25+ Outdoor Instructor staff. Providing outstanding customer service is our highest priority. The Team Building Coordinator must be able to effectively communicate with guests before their visit, create schedules, help to assign and manage instructor staff in conjunction with the Team Building Director, respond to guest needs and questions during their visit, and will help ensure our guests are satisfied and will return to Frost Valley. This position requires working most weekends between September and June.
ESSENTIAL FUNCTIONS:
- Work with assigned Team Building and Conference groups to plan a trip which:
- Meets their desired goals
- Creates opportunities for growth and interpersonal connections
- Builds connections between group members and Frost Valley
- Collaborate with non-program departments to ensure a superior experience for our guests especially when schedule changes arise i.e. maintenance, housekeeping, reservations, front desk
- Be in communication with groups starting after they have booked, through their visit and ending with a post-visit check-in
- For groups taking part in the Team Building program, the Coordinator will plan out an activity schedule along with debriefing goals that will meet the objectives based on pre-arrival meetings
- Organize meeting spaces and conference needs for all groups based on pre-arrival meetings. Set up and/or direct set up of needed program spaces, moving chairs and tables, etc
- Serve as host and point of contact for assigned Team Building and Conference groups during their stay
- Lead team building activities and facilitate debriefs when needed or necessary. The Coordinator is expected to lead higher level programming for groups that request it
- Be available to guests for questions and needs during their entire visit, including check-in and final departure, as well as share on-call responsibilities for evenings and overnights when assigned
- Maintain accurate records of group numbers, schedules, and other data in relevant systems (e.g., Camp Brain)
- Provide outstanding customer service by anticipating and/or responding quickly and courteously to guest needs both before and during their visit
- Actively train, schedule, observe and support outdoor instructors, fostering a positive and collaborative team environment
- Ability to share feedback and guidance to enhance Outdoor Instructors work abilities.
- Collect and compile program evaluations to find available areas of improvement in programming, staffing and facility to share with relevant staff
- Demonstrate good judgment in decision-making
- Act as the Director on Call when assigned. On Call responsibilities are shared throughout the week when groups are on-site
- Be an active member of the Year Round Programs Leadership team.
- Work to maintain and improve staff morale among the Outdoor Instructors
- Take part in weekly leadership team meetings
- Coordinate with Groups and Family Retreats and School Programs leadership regarding schedules and staffing
- Support other programs when needed
- Ensure all programs uphold Frost Valley YMCA’s mission, values, and safety standards while exceeding guest expectations
- Substitute as an Outdoor Instructor when needed
- Maintain accurate records of group numbers, schedules, and other data in relevant systems (e.g., Camp Brain)
- Perform all other duties assigned by the Team Building Director.
- Must be 21 years of age or older.
- Bachelor’s degree in Youth Development, Education, Outdoor Recreation, or a related field; or equivalent life experience with a minimum of three years working in youth programming, outdoor education, or recreation.
- Proven leadership experience, including at least two years with administrative tasks or in supervisory roles.
- Experience coordinating and supervising programs in outdoor education, retreat settings, or residential camps. Or understanding of the programs and logistical needs to ensure top line staff and guest experiences.
- Proficient in computer applications, including Microsoft Office and Google Suite; familiarity with database systems is a plus.
- Strong and productive communication and organizational skills, with a detail-oriented and problem-solving mindset.
- Experience working with youth ages 7-18 in outdoor or educational settings.
- Available to work evenings/weekends, and travel off-site when necessary.
- CPR/First Aid certification (or willingness to obtain upon hire).
- Experience with birds of prey or snakes is a plus but not required.
- Optional: Valid US Driver’s License with the ability to pass Frost Valley’s internal driver training.
WORK ENVIRONMENT & PHYSICAL DEMANDS:
- Must occasionally lift and/or move up to 50 pounds.
- Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.
- May need to traverse rough terrain.
- Noise levels in the work environment are generally moderate to loud.

PAY RANGE: $38,362.00 to $40,777.00 annualized salary (overtime eligible) plus shared housing
