Parts Advisor
Description

Primary duties and responsibilities, not limited to:


Parts Stock Room

  • Daily receiving of all inbound parts invoices ensuring the costs and quantities are entered under the correct part number into the Dealership Management System (DMS).
  • Ensuring stock parts being received are labeled and assigned to the correct bin location.
  • Ensuring Service parts being received are labeled and assigned to the correct repair order (RO), notifying the Service Department of their arrival while staging them in the correct bin for processing.
  • Ensuring Special Order (SO) customer parts being received are labeled while notifying the customer of their arrival, noting dates and times of contact in the DMS.
  • Staging SO parts on the customer pick up shelf.
  • Packaging and creating tracking labels for outbound parts shipments.
  • Processing parts returns to manufacturers per applicable guidelines.
  • Performing weekly cycle counts to ensure parts inventory accuracy.
  • Working closely with the Accounting Department to maintain accurate inventory counts and costs.

Parts Counter

  • Help internal and external customers find parts and accessories quickly and accurately.
  • Offer to sell complimentary and add-on items to customers.
  • Actively strive to increase Profit Per Customer.
  • Generate special orders for customer requests of non-stocked items.
  • Notify internal and external customers of backorders, and/or receipt of special orders.
  • Enter customer information and sale data into dealer management system.
  • Maintain a tidy workspace suitable for public view.
  • Take responsibility for merchandising and product presentation of the retail area.
  • May process and submit vendor orders, as required by the Parts Department Manager
  • Stock shelves as required by inventory plan.
  • Perform weekly perpetual inventory tasks as directed.
  • Be on time for all scheduled shifts.
  • Ask every customer for their email address and phone number, entering them into the DMS.
  • Processing daily reports, including the occasional closing till reconciliation.

Customer Service

  • Provide a happy and genuine greeting to every customer.
  • Inquire as to how you may assist every customer.
  • Actively engage every customer
  • Promptly answer incoming telephone calls, provide information, and transfer calls using best practices.
  • Maintain a pleasantly outgoing demeanor that encourages a positive customer rapport.

Requirements

 

  • Minimum of 1 year experience with receiving and shipping of inventory items into a DMS, preferably in a retail environment.
  • High school diploma
  • Team oriented, flexible, and focused on maintaining a high level of customer service.
  • Basic computer skills with experience in Microsoft Office preferred. Strong attention to detail.
  • Basic mathematical skills
  • Strong customer service skills
  • Excellent communication skills
  • Ability to turn an upset customer into a champion of the organization.
  • Strong desire to build relationships and create positive interactions with others.

Working Conditions

  • Retail environment
  • Saturday shifts required.
  • May be required to work more than 40 hours.

Physical Requirements

  • Extensive use viewing a computer monitor and using a keyboard.
  • Ability to stand for extended periods of time.
  • Ability to lift, pull, or push at least 40 pounds.
  • Routinely kneel-down, bend-over, and reach to high or low shelves.
