Position Summary


The Human Resources Coordinator supports the day-to-day operations of the Human Resources department with a focus on recruiting and onboarding. Other areas will be personnel file management as well as HRIS maintenance and payroll support tasks. This position reports to the Senior HR Manager and will be part of an 8 person HR and IT team.


Full-time exempt position: 4-day, 32-hour work week.

Schedule: Monday through Thursday 9am to 5pm

Location: San Rafael, hybrid position with 3 days in office and 1 WFH


Essential Functions


Recruiting:

  • Coordinate and manage the full recruiting process for positions across the organization in collaboration with the Senior HR Manager
  • In coordination with Sr HR Manager and the hiring manager, post jobs and maintain job postings on various sides, maximizing efficient use of resources.
  • Maintain Application Tracking System, including manual input of candidates who applied outside of the system.
  • In coordination with hiring manager, pre-screen candidates through brief phone interviews.
  • Set up and schedule interviews with hiring manager and hiring panel.
  • Communicate with all candidates, successful or not, after the hiring process.
  • Attend job fairs and other recruiting opportunities.
  • Participate in regular reviews of recruiting process to ensure best practices to efficiently hire the right people

Onboarding:

  • Coordinate and manage the full onboarding process for new hires across the organization in collaboration with the Senior HR Manager.
  • Draft offer letter for review
  • Check references and run background checks
  • Coordinate first day with new hire and hiring manager
  • In coordination with hiring manager, Sr HR Manager and Sr Payroll & Benefits Manager organize first two weeks of onboarding for all new hires
  • Give HR orientation for all new hires, including benefits enrollments
  • Follow up with new hires to ensure they have what they need to be successful in their new roles
  • Work with the HR team to improve the onboarding experience for all new hires.

General HR tasks:

  • Ensure complete documentation of all recruiting and onboarding processes.
  • Maintain and audit personnel files and HRIS system.
  • Prepare personnel files for audits.
  • Support payroll processing and timecard review.
  • Enroll employees in trainings and track compliance with mandated trainings.
  • Participate in HR team meetings.
  • Field and answer or direct incoming questions as appropriate.
  • Other duties as assigned.
Requirements


  • Bachelor’s degree in HR or related field of study; or equivalent combination of education and experience
  • At least two years of Human Resources experience
  • A proactive and flexible mindset with the ability to adapt to changing priorities.
  • Experience handling confidential and sensitive matters with empathy.
  • SHRM-CP or PHR Certification preferred


Knowledge, Skills, and Abilities

  • Excellent customer service and people skills with a willingness to go the extra mile
  • Experience with HR software and databases, including reporting
  • Experience with (phone and in-person) interviews, candidate screening and evaluation
  • Strong analytical and problem-solving skills
  • Excellent verbal and written communication skills
  • Exceptional organizational skills and attention to detail
  • Ability to work independently and as part of a team.
  • Bilingual in Spanish and English (preferred)

 

Compensation & Benefits


This is a full-time, exempt position with benefits. We offer a competitive salary range from $70k-$72k with a benefits package that includes:
