The Office Administrator provides general office support with a variety of administrative and clerical activities to ensure efficient operations of the office. The Office Administrator must be a positive ambassador for Butler’s Pantry as they are truly the first voice, first face, first impression for clients and vendors alike. This position is responsible for answering incoming calls, directing calls to correct associates, mail distribution, and requisition of supplies as well as additional clerical duties. This position will manage our phone system, work with outside vendors for office related functions, oversee general office management, and assist on special projects and other assignments as needed.
Your COMMITMENT to us:
RUN THE SHOW (The necessary stuff)
Oversee administrative functions by:
- Acting as a gatekeeper to receive clients, vendors, and guests for meetings and direct them appropriately
- Ensuring mail, deliveries, packages, uniforms and drop offs find their destination
- Fielding phone calls and utilizing mobile phone to ensure constant coverage
- Maintaining calendars; making travel plans, coordinating meetings and assisting with event related arrangements
Oversee office management and vendor relations by:
- Overseeing the upkeep of the office, restocking the office items, and cleaning
- Managing company-wide and shared calendars
- Assisting in internal communications
- Assisting with special projects such as holiday card support and décor, etc.
- Acting as the primary point of contact for vendors such SummerOne (Copier), GreenAngel (Cleaning), and Pass Security (Access and Security Systems).
- Serving as point of contact for employees who would like to replace existing office furniture or equipment
Assist other departments by:
- Running event reports biweekly for accounting
- Receiving incoming inquiries and appropriately transfer on to the sales department
- Training new office staff members in the use of office equipment and technology
- Providing administrative support for all departments
- Assembling, organizing and maintaining files
- Assisting with uniform inventory and initiatives
- Assisting in distribution of Banquet Event Orders (BEO’s) and creation of Black Books
- Constructing BEO’s for upcoming events and meetings at Butler’s Pantry
- Assisting the Marketing and Sales teams with signs for events
- Updating the VP of Sales busy and closed dates calendar
Act as security liaison by:
- Overseeing cameras and video footage
- Acting as the liaison between Butler’s Pantry and the police department when necessary
- Managing the FOB system, including assisting HR in the issuance of FOBs for new hires and deactivation of FOBs at termination
- Maintaining and fielding questions regarding the Commissary alarm system

Additional Qualifications and Requirements:
At least 1-year of relevant experience required.
