Job Purpose: 

The Executive Assistant to the President and CEO plays a critical role in providing high-level administrative and strategic support, including a variety of complex and routine activities and may require access to highly confidential information, while ensuring efficient operations, and serving as a key liaison between the President and CEO, Board of Directors, and the organizational leadership team. This position requires exceptional organizational skills, discretion, and the ability to manage complex scheduling, communications, and board interactions. This role requires a proactive, detail-oriented professional who thrives in a fast-paced, high-stakes environment while maintaining a high level of professionalism and discretion.


Key Responsibilities: 

Executive Support:

  • Complete a broad variety of professional and administrative assignments on behalf of the President and CEO by independently organizing and managing President and CEO workload demands to include setting meetings, managing communications and calendars, prioritizing inquiries and requests, troubleshooting issues and taking necessary action, and assigning work to other to ensure efficient and effective executive operations.
  • Create, compile, and produce complex documents, reports, dashboards, visual presentations, and talking points. Compose and organize written correspondence, maintain contact lists, and manage travel and expense reports. Have a sense for priorities and issues, keeping the President and CEO updated and informed and anticipating President and CEO’s needs in advance of meetings, conferences, etc.
  • Serve as the primary point of contact for the President and CEO, including contacts of a highly confidential or critical nature. Keep the CEO well informed of upcoming commitments and obligations, following up appropriately, and exercising an astute awareness and ability to recognize and sort priorities and critical issues. Prioritize and determine appropriate course of action and response or referral by exercising judgement that reflects the CEO’s direction.
  • Oversee President and CEO social media campaigns, including working with marketing to align and highlight organizational efforts to members and customers as well as the content team to gather and put forth relevant, timely, and important topics to our many audiences. 

Board of Directors Support:

  • Maintain accurate and up-to-date board records, meeting minutes, and governance documents.
  • Assist in the preparation and distribution of board reports, presentations, and communications for the President and CEO.
  • Serve as a liaison between the CEO, board members, and organizational leadership to ensure seamless coordination.
  • Manage communications, create presentations, and arrange travel for the leadership team to ensure seamless coordination and efficient time management. Serve as the primary liaison between executives, senior leaders, and staff to facilitate clear communication on company culture, employee well-being, project updates, and strategic initiatives. 
  • Oversee daily executive office operations, streamline workflows, and align leadership with other departments to enhance organizational efficiency.

Scheduling & Administrative Operations:

  • Independently manage and complete projects for President and CEO, assigning work to appropriate staff when required. Coordinate the CEO’s outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.
  • Deploy resources efficiently and effectively toward organizational goals, working with President and CEO to balance workload and effort and perform other projects/duties as assigned for the overall benefit of the organization.
  • Oversee complex scheduling needs, including coordinating multiple calendars and resolving scheduling conflicts.
  • Arrange travel, accommodations, and itineraries for the President and CEO and, when necessary, bod members., executive team 
  • Support special projects, research initiatives, and executive priorities as assigned.
  • Ensure smooth day-to-day operations of the President and CEO office.
  • Build and maintain strong relationships across the organization, including members, faculty, council members and external stakeholders, to facilitate conflict resolution and ensure seamless coordination of company-wide initiatives.
  • Filter and prioritize relevant information for executives and teams to streamline communication, reduce redundancy, and enhance workflow efficiency, ensuring critical messages reach the right people at the right time.


Requirements

Qualifications & Requirements: 

  • Bachelor’s degree in business administration, communications, or a related field preferred. 
  • Minimum of 10–12 years of experience as an Executive Assistant, preferably in a global environment supporting a CEO or senior executive. 
  • Experience working with a Board of Directors, including meeting coordination and document management. 
  • Exceptional organizational and time management skills with the ability to multitask and prioritize. 
  • Strong written and verbal communication skills. 
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Teams). 
  • High level of professionalism, discretion, and ability to handle confidential matters. 
  • Ability to work independently, take initiative, and anticipate needs.

Other Requirements and Skills: 

Qualified candidate must be skilled at creating, compiling, and producing complex documents, reports, dashboards, visual presentations, and talking points for meetings; composing and organizing written correspondence; and managing expense reports, meetings, and travel logistics for the President and CEO and the Executive team. This role serves as the primary point of contact for the President and CEO, including contacts of a highly confidential or critical nature. Keeping the President and CEO well informed and a demonstrated awareness and ability to sort priorities and issues is critical.
