Actively support the Regional/Branch Service Teams in delivering high quality service to national service accounts, assuring customer satisfaction is achieved. A key aspect of this role is to enable strong communication between JF Petro branch service and the Customer. Responsibilities range from managing individual service work orders being executed by the Branches (break-fix and projects) to monitoring overall JF Petroleum service performance as displayed on the customer’s scorecard and/or the ServiceMax customer dashboard. In addition, support timely invoicing of completed service work by assisting service branches with NTEs, and assisting the Billing and Portal teams in the issuance of accurate invoices.
Long Term/Strategic:
- Assure that supporting departments within JF Petroleum understand the expectations of our national service accounts.
- Schedule and facilitate business reviews (target quarterly) during which all parties are informed of achievements, opportunities for improvement, and new business.
- Solve customer problems; make sure JF Petro commitments are met & measure customer satisfaction.
- Be an advocate within JF Petroleum Service for assigned Customers and assure accountability of internal resources (branches and service support teams) to serving the needs of assigned accounts.
Short Term/Recurring:
- Be proactive in communication between JF Petroleum personnel and key customer contacts by conducting weekly or biweekly conference calls with customers to maintain awareness of status on break/fix work orders and projects.
- Manage customer expectations based on branch workload.
- Collaborate with Project Estimators, Project Managers, Service Managers, Sales, Supply Chain & subcontractors in order that projects for assigned accounts are completed on time, on budget and in accordance with customer quality & technical expectations.
- Maintain customer portals with most-current status of work orders assigned to JF Petro Service.
- Monitor dispatch confirmation to assure 90+% acceptance is achieved and reflected in the customer’s system.
- Monitor quality of service work performed (response time, first time fix, revisit resolution) and assist Service Managers in planning corrective actions if needed
- Assist customers after hours (nights/weekend) if standard CCC and Branch processes do not satisfy situation
- Assist billing team/local team to resolve invoicing issues by providing insight into services delivered relative to customer expectation and contractual requirements.
- Highschool Diploma or GED required; Bachelor’s Degree preferred
- Experience in building relationships and nurturing positive communication with customers
- Knowledge of retail fueling sites and dispensing equipment
- Familiarity with ServiceMax, MobileTech or equivalent maintenance management system & knowledge of MS Office (Excel, Outlook & Teams)
- Familiarity with Officetrax, ServiceChannel, Titan, Verisae, VixxoLink or comparable customer maintenance management portal.
- Excellent time management skills, organization skills and ability to multitask
- Proven communication skills and interpersonal abilities
- Must be able to meet company’s employment requirements, which includes passing a drug screen, criminal background check, and MVR, if driving for the company
- Physical Requirements: include occasional lifting/carrying of 10 pounds; visual acuity, speech and hearing; hand and eye coordination and manual dexterity necessary to operate a computer keyboard and basic office equipment. Subject to sitting, standing, reaching, walking, twisting, and kneeling to perform the essential functions. Working conditions are primarily inside an office environment. Prolonged periods sitting at a desk and working on a computer.
