WARE is seeking a warm, pleasant Receptionist to serve our customers, visitors, and employees, ensuring all interactions and touchpoints reflect the organization’s values and leave a positive, memorable impression. The successful Receptionist candidate will thrive in our people-centered atmosphere, helping protect and enhance the company culture by having the natural ability to build and maintain healthy, long-term relationships. 


The Receptionist serves as a Brand Ambassador for WARE, responsible for managing the reception area and upholding the brand’s image and values through demeanor and can-do attitude. The Receptionist will delight in the day-to-day activities that make our business smoothly operate, having the ability to pivot and cheerfully embrace change in high-growth seasons. The successful candidate will model and promote an environment of “I’m here to help!” and “Let’s figure it out together”, assisting employees with day-to-day questions and requests for support.


Responsibilities:

  • Answer all incoming customer phone calls with a sense of urgency via multi-line phone system, warmly and promptly responding with information, assistance, and/or directing calls to the appropriate person or department
  • Act as a Brand Ambassador, positively representing the organization’s culture and values to customers, guests and employees
  • Ensure a positive and memorable experience for employees, customers and guests by providing exceptional customer service
  • Anticipate and address customer, guest, and employee needs promptly, demonstrating attentiveness and empathy
  • Manage guest first impressions, offering beverages and ensuring guest general comfort
  • Maintain a clean and organized reception area, ensuring it reflects the company’s brand and values
  • Flexibly jump in to help with various company initiatives that engage and inspire our people
  • Coordinate event meals and catering, as requested
  • Receive, sort, and forward incoming and outgoing mail
  • Perform administrative and other duties as requested 

Details:

  • Full time, in-office, hourly position (Monday-Friday, 8am-5pm), $22-$24/hr

Requirements
  • High School Diploma or GED equivalent with 5+ years full-time receptionist/administrative assistance experience in an office environment in a people-facing and service-focused position
  • Professional attitude with exceptional verbal and written communication skills
  • Strong discernment and judgment-making abilities
  • Have a team-oriented approach, with the ability to communicate effectively with a variety of groups such as team members, senior leadership, peers, and community/outside contacts
  • Demonstrate high levels of integrity, discretion, and the ability to use higher judgment when needed, maintaining appropriate confidentiality as required
  • Excellent interpersonal skills with ability to build relationships internally and externally
  • Strong organizational skills that reflect proven ability to multi-task and own the details
  • Tech-savvy, adaptable to new software and programs
  • Resourceful and decisive team-player, with healthy confidence in personal abilities
  • Proficient in Microsoft Office and working online
