Overview of Position


The Philanthropic Associate supports the broader organizational goals related to “asset growth” at The Orange County Community Foundation. Primary responsibilities include lead generation research, new donor prospecting and cultivation support, charitable fund set-up, gift acceptance support for charitable funds, and assisting with special events. This role supports operational improvement, prospect tracking, and reporting, and ensures continuous progress toward Philanthropic Strategy team goals.  


Main Duties and Responsibilities


Prospect Outreach and Cultivation

  • Assist team to identify and screen leads with wealth screening tools. 
  • Create and manage prospect records in Salesforce CRM database and ensure data integrity and tracking.  
  • Support and manage prospect tracking and reporting for leads/prospects, new funds, and legacy funds. Ensure efficient “moves management” process.  
  • Use Wealth Engine or other screening tools to identify new prospects for outreach. 
  • Research, coordinate, and prepare for prospect meetings and presentations in advance of meetings. Provide appropriate follow-up support. 
  • Identify and gather contact lists for prospect and professional advisor communications within Salesforce for Philanthropic Strategy team-led events. 
  • Act as a coordination team member for Agency endowment fund prospect outreach and cultivation. 
  • Support the planning, preparation, and execution of Philanthropic Strategy programs, events, and ambassador initiatives among others. 

New Charitable Fund Management

  • Coordinates the end-to-end fund setup process including agreements, guidelines, signatures, and gift acceptance. Ensure a seamless donor welcome and introduction to their philanthropic advisor.  
  • Act as a liaison between donors and OCCF staff to answer key investment, agreement, and overall fund-related questions.  
  • Ensure timely fund set-up tracking and reporting with all cross-functional teams. 
  • Support team with complex gift acceptance activities such as real estate, business interest, and other illiquid asset transactions for new and current donors. 
  • Represent and report on the status of funds that are currently in progress and/or recently funded at OCCF Fund Management  meetings and other select meetings and create quarterly OCCF Board new fund reports for CEO/Assistant. 

Operational Improvement

  • Coordinates and optimizes business processes to ensure efficient and effective management of prospecting, cultivation, fund set-up, asset acceptance, and business tracking in Salesforce. Lead testing of new Salesforce capabilities as needed before launch. 
  • Document and update process job aids for team access and training purposes across the organization and for new staff as they onboard. Areas of focus include prospect cultivation and management, prospect data entry and management, fund setup management, donor welcome, and illiquid asset acceptance. 

Administrative Support

  • Provide scheduling assistance for the Philanthropic Strategy team for external development efforts. 
  • Track and reconcile department expenses and credit card transactions as needed. 
  • Coordinate departmental activities as assigned. 
  • Manage and track team meeting agendas, schedules, and reminders. 

Special Projects

  • Provide Director of Philanthropic Strategy with administrative/project support for the Family Foundation Alliance annual membership drive including tracking of prospects, new members, and membership payments. 
  • Support Director of Philanthropic Strategy with Legacy Program management support including SF database cleansing, tracking, reporting, and dashboards. 
  • OCCF annual Powering Good initiative in support of the Sr. Director of Philanthropic Strategy. Partner with Finance, Donor and Community Engagement, and marketing to ensure efficient data tracking, payments, and reporting. 
  • Support Philanthropic Strategy team special projects as needed. 
  • Deploy project management tools and techniques to support team objectives where appropriate.  

 

Compensation & Benefits

The ability to work for an organization with a phenomenal mission, positive team-oriented work environment, a competitive salary range is $58,000 - $63,000 (Non-Exempt) and will be commensurate with experience as well as incredible benefits including Medical, Dental & Vision, 403(b) retirement plan with an automatic contribution by the organization, 2 weeks of vacation, 2 weeks of PSL, 10 annual paid holidays and the opportunity for a 9/80 work schedule. The position will have the opportunity to work from home one day per week.

Minimum Qualifications


Education

Bachelors degree in a related field required 


Qualifications & Experience

2–3 years of work experience in business development, customer relations, or client services, ideally within a nonprofit or professional services environment. 

  • Excellent organizational skills and keen attention to detail.  
  • Strong writing and communication skills with a polished, professional, and personable demeanor. 
  • Self-confident, friendly, and approachable with the ability to build strong working relationships across internal teams and with external partners. 
  • Ability to work successfully with diverse individuals with a variety of work and communication styles, both internally and externally. 
  • Responsiveness and ability to (re)prioritize and work accurately to meet multiple deadlines in a fast-paced environment and adjust to changing and/or tight deadlines. 
  • Team player who is also a self-starter needing minimum supervision. 
  • High level of comfort with technology and a demonstrated ability to learn quickly and adopt new tools and platforms. 
  • Experience using Customer Relationship Management (CRM) or Donor Management Software, preferably Salesforce. 
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and general digital fluency. 
  • Collaborative mindset with experience working closely with internal stakeholders to achieve shared goals.
