We are seeking a highly organized and proactive Office Manager to oversee daily operations, drive business development efforts, and enhance business processes at our staffing and recruiting agency. This role requires a dynamic professional with a strong ability to streamline operations, optimize workflows, and contribute to company growth through strategic outreach and relationship management. The ideal candidate will possess excellent customer service skills to handle both internal and external clients, maintain strict confidentiality, and demonstrate a strong ability to multitask and manage various situations effectively.
Key Responsibilities:
Business Development & Client Outreach:
- Make a minimum of 25 outbound calls daily to potential clients to promote our staffing services and generate leads.
- Build and maintain relationships with new and existing clients.
- Collaborate with the CEO and VP to develop effective outreach strategies.
Customer Service
- Promote and deliver exceptional customer service, acting as the first point of contact for clients and visitors, ensuring their needs are met promptly and professionally.
- Coordinate and manage scheduling for senior leadership and staff, ensuring seamless communication and interfacing with both internal and external stakeholders.
- Handle sensitive information with the utmost discretion, maintaining confidentiality across all interactions and communications.
Office & Business Operations:
- Oversee daily office operations, ensuring efficiency and productivity.
- Develop, enhance, and implement business processes, workflows, and best practices to streamline operations.
- Manage vendor relationships and office supply inventory.
- Assist in setting up new business configurations, including licensing, compliance, and operational infrastructure.
- Exhibit the ability to work independently, taking initiative and demonstrating a proactive approach to challenges.
Process Improvement & Workflow Optimization:
- Analyze current business processes and identify areas for improvement.
- Design and document standardized workflows for recruiting, client management, and back-office operations.
- Implement automation tools and software solutions to enhance productivity.
Administrative & Financial Support:
- Support invoicing, billing, and financial tracking in collaboration with the accounting team.
- Maintain accurate documentation and records of business transactions.
- Assist with reporting, data analysis, and performance metrics tracking.
- 3-5 years proven experience in office management, business operations, or a similar role (experience with staffing or recruiting agency is a plus).
- Associate's degree or equivalent experience in office administration or a related field
- Strong business development skills with experience in outbound calling and client relationship management.
- Excellent organizational and multitasking abilities.
- Proficiency in business software (e.g. Microsoft Suite and workflow automation solutions.)
- Strong problem-solving skills and ability to optimize business operations.
