ROLE SUMMARY:

As a Project Manager at Sanctuary, you will play a pivotal role in driving the successful execution of complex projects that span multiple departments. You will be responsible for the planning, coordination, implementation, and monitoring of these projects, ensuring they are completed on time, within scope, and within budget. Your expertise and knowledge in project management, and the wealth management industry, will be critical in achieving our strategic objectives.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Project Planning and Initiation:

· Collaborate with Executive and Senior leadership to define project objectives, scope, and success criteria.

· Develop comprehensive project plans, including timelines, resource allocation, and budget estimates by working closely with project stakeholders to define and document project scope including all deliverables, features, and functionalities. As important is clearly articulating what is not within the project scope to ensure alignment.

· Lead project initiative activities, including identifying and engaging key stakeholders from various departments early in the planning phase. Ensure their requirements and expectations are integrated into the project plan to ensure alignment.

2. Project Execution and Management:

· Assemble, lead, and oversee cross-functional project teams, providing guidance and direction to ensure project milestones are met. Clearly define roles and responsibilities to ensure team members understand tasks and objectives.

· Monitor project progress, identify and address issues, and ensure adherence to project timelines and budgets. Use project management tools and techniques to track milestones and dependencies.

· Effectively communicate project status and updates to key stakeholders, including executives and department heads.

· Manage changes to the project scope, objectives, or requirements by following established change management procedures. Assess the impact of changes on the project timeline, budget, and resources.

· Schedule and lead regular status meetings based on the project’s complexity and timeline. Develop a structure, purpose, and cadence for each meeting that project team members can adhere to and that meetings are productive moving the project forward.

3. Risk Management:

· Identify potential risks and develop mitigation plans to minimize project disruptions.

· Proactively address issues that may impact project timelines or objectives.

4. Resource Management:

· Allocate and manage project resources, including personnel, technology, and external vendors as necessary.

· Ensure that resources are being utilized efficiently and effectively. Avoid underutilization by regularly reviewing workloads and adjusting as necessary.

5. Quality Assurance:

· Ensure the delivery of high-quality project outcomes that align with the company's standards and objectives.

· Implement best practices in project management to optimize project efficiency and effectiveness.

6. Documentation and Reporting:

· Maintain accurate project documentation, including project plans, status reports, and meeting minutes.

· Prepare regular reports for senior management, highlighting project progress and key performance indicators.

7. Continuous Improvement:

· Identify opportunities for process improvements within the wealth management organization and recommend changes as needed.

Requirements

KNOWLEDGE SKILLS AND ABILITIES:

· Proven experience as a Project Manager, ideally within the wealth management or financial services industry.

· Strong knowledge of wealth management practices and financial products.

· Excellent leadership, communication, and interpersonal skills.

· Proficiency in project management tools and software.

· Ability to analyze complex issues and make strategic decisions.

· Strong problem-solving and critical-thinking abilities.

· Exceptional organizational skills and attention to detail.


EDUCATION:

• Bachelor's degree in business administration, finance, or related field (MBA or PMP certification is a plus).


LICENSES/CERTIFICATIONS:

• PMP (Project Management Professional) Certification preferred
