This position is scheduled Monday through Friday.

o Morning Receptionist Schedule is 7:00 a.m. to 12:00 noon

o Afternoon Receptionist Schedule is 12:00 p.m. – 5:30 p.m.


 JOB SUMMARY:

Greet clients, families, caregivers, and other stakeholders. Escort/assist clients in and out of the programs and building as needed. Accurately complete all required documentation within specified time limits. Provide administrative support for Day Program.


Duties/Responsibilities:

§ Escort/assist clients in and out of the programs and building as needed.

§ Coordinate all arrivals and departures in a professional, orderly, and friendly manner.

§ Answer telephone calls, forward calls and take messages as appropriate.

§ Refer all communications to appropriate staff.

§ Maintain current, accurate participant attendance information, update weekly.

§ Verify accurate daily attendance.

§ Obtain signatures from caregiver/families as instructed.

§ Perform all other duties as requested by site Leadership Team members.

§ Attends and participates in staff meetings, in-services and projects and committees as assigned.

§ Adheres to and support the facilities policies, practices and procedures.

§ Accepts assigned duties in a cooperative manner and perform all other related duties assigned by Supervisor.

§ Participates in special projects and performs additional duties as required or assigned.

§ Clean and disinfect the receptionist counter, lobby chairs, end table, phones and keyboards as needed and organize the receptionist counter at the end of the shift.

§ Process mailing.

§ Assemble information packets.

§ Provide set-up staff in-service trainings.

Requirements

 Required Skills/Abilities:

§ Excellent interpersonal, written and verbal communication skills.

§ Excellent typing, spelling, punctuation, and grammar.

§ Good judgment, discretion, organizational ability, initiative, and the ability to work independently.

§ Be intuitive, take the initiative and be a self-starter.

§ Knowledge of Microsoft Word, Excel, PowerPoint & Outlook.

§ Ability to multi-task and act as a team player with a superior service attitude.

§ Ability and maturity to handle confidential and time-sensitive information.

§ Professional and cheerful with a positive attitude and demeanor

§ Maintain HIPPA Compliance.

§ Final hiring pending on OSBI background check, clean driving record, Community Services Registry check, and pre-employment screening.


Education and Experience:

§ High school graduate or equivalent, associate’s degree preferred.

§ One year’s experience in receptionist position / administrative support.

Physical Requirements:

§ Bending, stooping, and lifting a minimum of 50lbs.

§ Ability to push 200 lbs. (in a wheelchair)

§ Good hearing and Vision capability


Special Requirements:

§ Criminal arrest check will be done through the OSBI; Per Section 1025.1 et seq. Of Title 56 of the Oklahoma statues, House Bill 1790, any prospective employee with a felony or misdemeanor conviction, guilty plea or plea of nolo contendere will not be eligible for employment. This prohibition may be disregarded if an appropriate waiver is obtained from the Office of the Director, DDSD, Department of Human Services, or his/her designees.

§ Community Services Registry checks (House Bill 1790) will be done through DDSD, Department of Human Services. The person whose name appears on the registry cannot work for A New Leaf.
