Position Function: 

Supports and coordinates grant and contract related activities of residential programs on the Wichita Campus, encouraging programmatic compliance with grant and contract requirements. Serves as the primary liaison between residential program staff and ACH’s Development, Quality Assurance and Public Grants and Contracts departments. Supports the accuracy, consistency, and quality of data across internal and external systems. The job requires sensitivity to the service population’s cultural and socioeconomic characteristics.



Requirements: 

Education: Bachelor’s degree in communication studies, journalism, public administration, business, social sciences, or a related field from an accredited institution



Experience: At least one year of professional experience in grants or grants and contracts, collaborating to develop funding proposals, managing funding awards, and collaborating with funded programs to write grant or contract reports for client services, or similar professional experience. At least one year of professional customer service experience.

Working Conditions:

Standard office conditions, periodic attendance at external trainings and functions. Lifting files and office supplies up to 10 pounds. Ability to work independently.

Key Expectations/Responsibilities:

Overall Responsibilities:

· Maintains general knowledge of grant and contract requirements of Wichita Residential programs to support programs and departments in compliance

· Maintains professional demeanor in all interactions with internal and external customers


Pre-Award Responsibilities:

· Assists with research activities and new proposal creation as new opportunities are identified 

· Gathers data for proposals as requested

· Works closely with Wichita residential teams to coordinate the programmatic response 

· Collaborates with Development and Grants and Contracts on funding proposals and submits requested documents on or before the requested deadline


Post-Award Responsibilities:

· At the time of a new or multi-year award, participates in the initial post-award meeting to review the written summary and overall obligations of the new award

· Supports program compliance with all awards by regularly running and reviewing data for required measures and outputs

· Ensure client data is accurately entered and reconciled across internal and external data systems.

· Identify and resolve discrepancies between systems in a timely manner

· Input missing or incomplete data as required to maintain accurate records.

· Partner with Programs and Quality Assurance to complete record reviews

· Shares performance updates with program leadership on a routine basis 

· Work directly with programs to create and implement timely corrective action plans as deficiencies are identified, supporting overall program compliance with commitments

· Participates in regular calls with funders 

· Takes the lead in completing programmatic reports for funding awards. 

· Coordinate the collection and evaluation of data related to established performance measures; including onsite monitoring

· Monitor and report on compliance with contract requirements

· Requests and compiles information from program staff as required, ensuring work and outcomes are consistent with funder requirements 

· Submits programmatic grant and contract reports as required

· Monitor client RHY-HMIS data in HMIS system as required and support preparation of all RHY-HMIS-associated reporting, including RHY-HMIS uploads and CAPER reporting.

· Leads program teams in managing internal and external monitoring visits and audits, ensuring compliance with data quality standards and working closely with Development and Public Grants and Contracts to coordinate efforts.

· Participates in monthly grant review meetings convened by the Finance Department

· Partner with Finance department to lead clinical staff through the Medicaid credentialing and renewal process, leading to a clear and efficient process and maximized billing.


Collaboration and Process Improvement:

· Work collaboratively with program staff to create and implement efficient data-gathering processes.

· Participate in quality improvement activities aimed at enhancing the accuracy, efficiency, and effectiveness of data collection.

· Collaborate with other departments to ensure the accuracy and timeliness of data related to children, families, and agency operations.

· Support quality assurance initiatives by conducting internal quality reviews and making recommendations for improvement.


Program Administrative Support:

· Provide administrative support for the Residential Services Treatment Director

· Scheduling and meeting minutes, voicemail, check requests, ordering supplies and materials, as needed
