The Patient Financial Services Coordinator plays a critical role in ensuring a smooth financial experience for patients by helping them understand their insurance coverage and out-of-pocket costs. This role is responsible for calculating patient financial responsibility based on the allowable amount covered by the insurance provider, providing patients with cost estimates, setting up payment plans, and ensuring all relevant teams are updated for accurate collections.

 Responsibilities

Insurance Verification

• Review and confirm patient insurance coverage prior to services to understand co-pays, deductibles, and out-of-pocket maximums.

Cost Estimation: 

• Accurately calculate the patient’s financial responsibility based on the allowable amount from the insurance provider, including any co-pays, coinsurance, or deductibles.

Patient Communication: 

• Provide detailed cost estimates to patients and explain insurance benefits, financial responsibility, and payment options clearly and professionally.

Payment Plan Setup: 

• Assist patients in setting up appropriate payment plans, ensuring affordability and compliance with company policies.

Coordination with Teams: 

• Collaborate with internal teams, including billing, collections, and front office staff, to ensure accurate and timely collections at the time of service.

Documentation & Updates

• Maintain up-to-date records in the patient management system, ensuring all relevant teams are informed about patient financial status and payment plans.

Compliance: 

• Adhere to all legal and regulatory guidelines regarding insurance, billing, and patient financial interactions.

Customer Service: 

• Provide excellent customer service to patients, addressing any financial concerns or questions in a timely and empathetic manner.

• Performs other duties as assigned to support the mission, values, and strategies of CPIhealth.

Requirements

Requirements

• High School diploma or equivalent.

• Previous experience in healthcare billing, patient financial services, or revenue cycle management is preferred.

• In-depth understanding of medical insurance plans, including allowable amounts, deductibles, and co-payments.

• Experience in calculating patient out-of-pocket costs.

• Strong interpersonal and communication skills with the ability to explain financial information to patients in a clear and patient-friendly manner.

• Familiarity with healthcare payment plan setup and processes.

• Ability to work cross-functionally with billing, front desk, and collections teams to ensure seamless patient financial experiences.

• Proficiency in medical billing systems, patient management software and MS Office.

• Strong organizational, time management skills and attention to detail.

• Detail-oriented with strong problem-solving skills 

• Proactive positive self-starter.

• Ability to learn new procedures and adapt quickly to change

• Ability to work collaboratively in a team environment.

• Familiarity with HIPAA regulations and patient confidentiality requirements.
