Summary


The HR administrator provides human resources, administrative, and other assigned support functions for Trinity Repertory Company’s finance and administration department. Collaborating daily with all members of the department and in regular coordination with the Director of People and Culture. They will interact regularly with staff members, senior managers, and organizational leadership and will support recruiting, hiring, payroll, and benefits needs, among other staff culture events and tasks. The HR Administrator will handle all information and requests with confidentiality, discretion, sensitivity, and the urgency they require.


Essential Duties and Responsibilities include, but are not limited to, the following:


Recruiting & Hiring

  • Support TRC employment searches, recruiting, and hiring as needed, including posting employment listings for open TRC positions to Paylocity, Artsearch, RI Community Board, and other relevant job boards.
  • Schedule and conduct interviews, check references, and perform background checks.
  • Draft formal offer letters and assist in making employment offers.

Onboarding & New Hire Administration

  • Process new hire paperwork, including tax withholding and employment eligibility, in compliance with applicable laws and regulations.
  • Conduct onboarding for new employees, covering salary and benefits administration, employee handbook review, and setup of email, phone numbers, and computer access, etc., in collaboration with IT. In communication with the hiring manager, ensure role-specific onboarding requirements are met.

Employee Records & Compliance

  • Maintain accurate digital employee files and records.
  • File workers’ compensation, unemployment claims, TDI, and long-term disability.
  • Support Workers’ Compensation audits by preparing payroll and employee records.
  • Assist with 5500 filings and prepare 401K census information for plan administration.

Benefits Administration & Payroll

  • Coordinate open enrollment communications and ensure that employees make benefits selections within deadlines.
  • Track, communicate, and set up employee benefit eligibility and other employment details, including advances, payments, time off accrual and usage, retirement benefits, and medical, vision, dental and other benefits eligibility.
  • Collaborate with the Finance Coordinator to ensure weekly payroll is processed accurately and on time in Paylocity.
  • Serve as the primary administrator for all payroll and benefits platforms.
  • Act as the primary contact for communication with outside vendors who provide Trinity Rep with benefits services, including payroll, insurance, flexible spending accounts, and professional development services.
  • Assist the staff accountant with payroll, benefits, and HR vendor payments as needed.
  • Review and reconcile payroll and benefits-related items in the general ledger and other financial reports to support payroll and accounting functions.
  • Assist with year-end payroll reporting, ensuring the accuracy of deductions, contributions, and required documentation such as W-2s and 1095 C, etc.

Performance Management & Employee Relations

  • Administer the annual performance review process. Coordinate with the production team on seasonal staff contracts. Prepare and distribute annual compensation letters.
  • Assist managers in developing performance improvement plans and staff performance coaching.
  • Recommend new policies, procedures, and approaches to enhance workplace culture, operations, and overall efficiency for both management and staff.
  • Serve as a primary contact for employee HR inquiries and concerns, including benefits, workers’ compensation, payroll and tax questions, and performance reviews.

Offboarding & Employee Transitions

  • Coordinate the offboarding process, including administering COBRA, 401K, FSA, and other benefits, final pay closeout, and ensuring the return of all Trinity Rep property.
  • Coordinate deactivation of email and other access with supervisors and IT.
  • Coordinate and schedule exit interviews with appropriate interviewer.

Culture & Employee Engagement

  • Contribute to building a positive company culture and supporting employee retention by working with the Director of People and Culture and other key staff members to coordinate staff-wide events, recognitions, meetings, training, and      communications.
  • Collaborate with the Director of People and Culture on programming that promotes company culture and employee engagement. This can include but is not limited to: setting up and breaking down for events, spreading the word and encouraging staff participation, and other duties as needed.
  • Maintain regular communication with the Director of People and Culture, including participating in standard meetings, as necessary.
  • The HR administrator models collaboration and transparency company-wide.

General HR Support & Projects

  • Provide administrative support for various HR projects assigned.
  • The HR administrator handles all information and requests with confidentiality, discretion, sensitivity, and the urgency they require.
  • Support TRC in fostering our core values of Company, Community, and Education and in our work to become an anti-racist institution.
  • Perform other duties as assigned.

Education and/or Experience


Required: At minimum, two years of college, one or more years of office experience and/or training; strong administrative, and organizational skills with exceptional attention to detail; or equivalent combination of education and experience. Direct HR experience preferred. Demonstrated ability to prioritize tasks, handle and follow through on competing assignments, understanding and respect for confidentiality of company and employee information, as well as a clear ability to meet deadlines.

Preferred: Experience in a nonprofit or arts organization. HR certification (PHR, SHRM-CP, etc.)


Language Skills


Fluency in English required. Ability to read, analyze, and interpret general periodicals, professional journals, and technical procedures. Ability to write reports and business correspondence. Ability to effectively present information and respond to managers, co-workers, volunteers, artists, and patrons in writing, by telephone, and through face-to-face conversation.


Reasoning Ability


High degree of integrity and professionalism. Ability to exercise discretion and good judgment, respecting confidential employee information and staff relationships. Exceptional organizational skills and the ability to identify priorities, develop strategies, manage multiple tasks at once, and keep track of and meet deadlines and goals. Strong problem-solving skills. Ability to collect and interpret data and information, establish facts, define problems, and draw reasonable conclusions.


Computer Skills


Proficiency with MS Office suite and internet software. Proficiency in Paylocity a plus. Training in internal systems including Paylocity, Accounting Seed, and PatronManager will be provided as necessary.
