Administrative Assistant Position Summary


Supports the overall business plan and strategic direction of the organization by providing high-level administrative support to various departments. This role assists in organizing, coordinating, and tracking key initiatives and day-to-day operations to enhance organizational effectiveness. Responsibilities include supporting communication, scheduling, document management, training coordination, and operational workflows, with occasional involvement in special projects, research, and implementation efforts.

Administrative Assistant Essential Functions

  • Models and holds others accountable to the Barnes culture and acts as a coach and mentor for others in the organization.
  • Become familiar with all operations positions within the organization to help support and guide as needed.
  • Research and identify areas of improvement and develop plans for change, advancement, and uniform SOPs.
  • Leads project to effectively improve GP and/or support the overall company rock(s).
  • Outlines the tasks involved in the project and delegates accordingly.
  • Acts as a liaison between company, customers, and vendors.
  • Communicates and collaborates with stakeholders to provide training and information required to implement solutions, programs, and systems.
  • Tracks and reports on operating results to ensure consistent growth and progress towards achieving organizational goals and communicates them appropriately.
  • Assist with operations recruiting and onboarding and communicates areas of improvement as needed.
  • Maintains calendars for executives by planning and scheduling business meetings, conferences, teleconferences, as well as coordinating and booking travel arrangements.
  • Assists and supports leaders in preparing for meetings, including providing perspective and other beneficial input, preparing meeting materials, keeping track of meeting progress and follow up items, and preparing and revising correspondence and other documents, as necessary.
  • Prepares and disseminates communication on behalf of executives; and records and distributes records
  • of meetings as appropriate.
  • Plans, coordinates, organizes, and helps at various company meetings, events, and celebrations.
  • Responds quickly and professionally to customer inquiries, resolves customer concerns, or directs them to the appropriate person.
  • Handles administrative inquiries and questions quickly and efficiently.
  • Prepares agendas and schedules for meetings.
  • Other related duties as assigned.

Administrative Assistant Minimum Qualifications

  • An BS/BA degree in Business Administration, Computer Science, Engineering, a related field, or equivalent experience preferred
  • Three years of related experience preferred; healthcare experience preferred.

Working Conditions

  • Prolonged periods of sitting at a desk and working on a computer.
  • Occasional travel possible.
  • Must be able to lift up to 15 pounds at times.
