We are currently seeking candidates for the position of: Customer Service Representative – Wholesale & Retail Sales Support, remote or Onsite (Stuart, FL, Dayton, OH location). This position will report to the Sales Manager.

Duties and Responsibilities 

  • Serve as the first point of contact for inbound charter inquiries via phone, email, and web.
  • Provide prompt, courteous, and professional responses  to clients regarding charter options, pricing, and scheduling.
  • Assist the retail sales team in managing leads, preparing quotes, and following up with potential customers.
  • Assist wholesale team with confirmed trips, flight details, and communication with brokers.
  • Maintain accurate records of client communication and  booking details in the CRM system.
  • Liaise with the dispatch team to relay and confirm flight itineraries, special client requests, and scheduling changes.
  • Monitor active flights and assist with real-time coordination between clients, crew, and operations.
  • Communicate updates or disruptions to clients and internal teams promptly and clearly.
  • Ensure all necessary documentation (passenger manifests, preferences, trip sheets) is accurate and distributed appropriately.
  • Support post-trip follow-ups, client satisfaction surveys, and issue resolution.
  • Assist with data entry, reporting, and coordination between departments.
  • Help maintain internal databases and documentation for flights, vendors, and client preferences.

Requirements

  

Qualifications: 

  • 2+ years of experience in customer service, sales support, or dispatch—aviation experience strongly preferred.
  • Strong communication and interpersonal skills.
  • Ability to multitask and stay organized in a fast-paced environment.
  • Proficiency in Microsoft Office Suite; CRM experience is a plus.
  • Flexibility to work evenings, weekends, or holidays as flight schedules demand.
