Job Title: Events & Programming Assistant
Department: Club Events & Programming

Status: Seasonal FT

Reporting To: Club Events & Programming Manager


Position Overview:


The Events & Program Assistant will support in planning and execution for a variety of events, programs, and experiences including, but not limited to art, fitness, music, and family programs as well as club-wide events and experiences. This person will have a passion for providing unique and wonderful experiences in a luxury club space to a community of adventurous members.


Key Responsibilities:

  • Act as the primary point of contact for members, ensuring timely communication on their registered programming
  • Support week-of coordination, planning, and setup of programming and events 
  • Be detail oriented and uphold the luxury experience and community in our membership 
  • Continue program innovation, staying on industry trends to ensure the highest quality experience can be provided to our members
  • Support in the setup and teardown of facility spaces and equipment for events and programming – includes setting of tables, chairs, signage, stage, decor, and any other items specified in the planning process
  • Greet members and guests to events, maintain accurate records of participation and feedback 
  • Support vendors in arrival to facilities and setup 
  • Provide general event support in planning, coordinating, and implementing all events, programs, and activities as assigned, including club wide special events
  • Communicates with internal stakeholders and vendors in preparation execution for events
  • Support in the coordination, setup, and tear down of fitness, art, family, and club wide programming
  • Coordinate with any needed teams to support the event
  • Act as points of contact with members and internal departments while events are occurring. 
  • Foster community and culture with our membership, ensuring a luxury experience in all member interactions
  • Ensures facilities are clean throughout all phases of events – wipes down tables, empties garbage cans/restocks liners, removes any broken or damaged equipment, tidying outdoor areas, resetting furniture to proper locations, etc. 
  • Monitor and maintain event equipment in storage facilities to be prepared for any needed programming
  • Participate in weekly conversations for upcoming event planning to establish BEO’s and ROS’s
  • Be present for pre-event walkthroughs and provide feedback with areas for improvement 
  • Attend member needs during events to ensure a smooth experience
  • Be onsite for events to provide assistance and address any issues promptly
  • Monitor safety and security concerns, reporting any concerns or damage to facilities/equipment to a supervisor
  • Resets areas to specifications listed on facility set-up instructions
  • Assist the management team with various assigned tasks

Requirements and/or Qualifications:

  • High School Diploma Required
  • 1-3 years of experience in luxury hospitality, event planning, or related field
  • Proficiency in Google Workspace applications
  • Excellent communication with Culinary, Vendors, and Hospitality teams
  • Understanding of event production logistics, including AV setups, team coordination, and guest communications

Physical Requirements - Must be able to perform physical activities such as, but not limited to:

  • Full range of body movements
  • Reach, push, pull, lift, and carry objects that may be heavy (30-50+lbs)
  • Prolonged periods of standing, walking, bending, and twisting
  • Walk on even/uneven/slippery terrain
  • Climb/descend stairs/ladders

Working Environment:

The Program Assistant position will have a variety of workspaces including indoor and outdoor areas such as office space, restaurant and club areas, on-mountain terrain, lakeside locations, and more. This position will occasionally participate in Club Event programming.

Salary Description
$22.50 - $27/hr
