We are seeking a dedicated and organized Administrative and Liaison Officer to join our team. The ideal candidate will be responsible for managing administrative tasks and serving as a point of contact between our organization and external partners including vendors and government offices. This role requires excellent communication skills, attention to detail, and the ability to handle multiple tasks efficiently.
Administrative & Liaison Responsibilities
- Receive and manage documents, parcels and other items, ensuring they are properly and completely filed and the relevant departments are informed of the receipt.
- Ensure compliance of vendor documents with statutory requirements
- Handle incoming and outgoing correspondence, including emails, letters, and packages.
- Coordinate the receipt, inventory, and dispatch of engagement materials and other items sourced from external vendors and suppliers.
- Schedule and coordinate meetings, appointments, and travel arrangements for team members who will use the office.
- Perform medical certificate validations by calling healthcare providers and working closely with the proper department.
- Maintain office supplies and coordinate with vendors for office maintenance and supplies replenishment.
- Prepare and edit documents, reports, and presentations as needed.
- Greet and attend to visitors, especially those from government offices, ensuring they have a positive experience.
- Act as a point of contact between the company and its partners including banks, vendors and government agencies.
- Go to and transact with government offices to handle company-related matters, such as permits, licenses, and other regulatory requirements.
- Build and maintain strong relationships with key contacts in government offices.
- Coordinate with government agencies to address employee concerns—such as sickness benefits, government loans, and other matters—that require external intervention to ensure timely and accurate resolution.

- Proven experience in an administrative or liaison role.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in using office software and equipment.
- Ability to work independently and as part of a team.
- Familiarity with government procedures and regulations is an advantage.

- This position is full-time and based in our office.
- Occasional travel to government offices is required.
