Description

Summary/Objective

The Administrative Assistant will provide assistance to the Dermatology Administrative Specialist Team Lead, Clinical Services Coordinator and Director of Clinical Services to ensure that all staffing coverage needs are met; including processing and scheduling Vacation Requests, FMLA requests, Daily Call Off’s and Long Term Coverage’s due to Transfers, Terminations and Resignations. Additionally, the Administrative Assistant provides Administrative and General Secretarial Support as required, Coordinates and Participates in Departmental Orientation and Special Projects as assigned. 

  

Essential Functions
Receives and handles slides and requisitions. Distributes slides to the proper reading agencies.
 

Transcription of codes to create pathology reports. Obtains daily reports from affiliated labs. Produce and distribute pathology reports.
 

Code all reports from in-house pathologists and reports from affiliated labs. Ensure slides are sent to the proper affiliates on the basis of insurance requirements.
 

Provide any reportable cases to the Florida Cancer Data Services website and to our Cancer Research Department.
 

Provide archived material, slides, reports, and blocks to patients, release of information, requests by internal and outside physicians, and our Medicare, Research, and Insurance departments.
 

Attends support staff and department meetings to keep informed of employee issues and concerns as well as organizational updates.
 

Maintains confidentiality of clinic materials.
 

Maintains CAP regulations for inspection purposes


Work Environment & Physical Demands
Position requires a great deal of walking, standing, moving and manipulating equipment, as well as lifting and moving objects, equipment and supplies. 

It is reasonable to anticipate lifting 20-25 pounds in any given day. Lifting up to 30 pounds may occasionally be required, depending on the specific style or type of care provided and must be able to push/pull a patient sitting in a wheelchair.
 

The person in this position needs to occasionally move about the inside from the Care Team station to the exam rooms to interact with patients and stock supplies. 

Constantly operates a computer and other office productivity machinery, such as nebulizer, fax machine, copier and computer printer. Able administer intradermal, subcutaneous, and intramuscular injections. 

The person in this position frequently communicates with Clinic staff, such as providers, patients, call center representatives, receptionists, Patient Financial Services, Managed Care, specialty pharmacies, etc . Must be able to exchange accurate information in these situations.

May be exposed to live vaccines, blood-borne pathogens, and bio-hazardous materials.

Must be able to appropriately assist with procedures.

Requirements

Required Education and Experience:  High School Diploma, knowledge of medical terminology, typing with experience and knowledge of ICD10 and CPT codes. Knowledge of billing practices and the ability to differentiate clinical malignancies. 


Preferred Education and Experience:  

Preferred one year experience in administrative role. Dermatology experience is also preferred.
