POSITION SUMMARY:
This position supports the work of the SRYMCA, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility. The Office Manager is a key member of the YMCA’s Association Services team, responsible for ensuring smooth day-to-day operations, supporting executive leadership, and serving as the primary administrative contact for Association Services. ESSENTIAL FUNCTIONS:
Executive & Board Support
- Serve as the primary administrative contact for Association Services leadership.
- Manage BoardEffect, ensuring timely and accurate uploading of all Board and committee materials.
- Coordinate logistics for monthly Board and committee meetings, including scheduling, calendar management, room setup, and AV needs.
- Prepare and distribute agendas, meeting minutes, and correspondence for Board and committee members.
- Maintain accurate records of Board and committee rosters, terms, and attendance.
Office & Administrative Operations
- Oversee daily office operations, including supply management, inventory control, and vendor coordination.
- Maintain office equipment and coordinate repairs or replacements as needed.
- Answer and direct incoming calls; greet and assist visitors.
- Manage incoming and outgoing mail and packages.
- Maintain digital and physical filing systems in compliance with data retention and confidentiality policies.
- Draft, proofread, and format internal and external communications.
- Create professional presentations, reports, and other materials as requested.
Scheduling & Coordination
- Manage meeting and conference room calendars.
- Organize and schedule meetings and appointments as needed.
- Support planning and logistics for biannual training workshops, staff events, and retreats.
Human Resources & Compliance Support
- Assist with onboarding and orientation for new Association staff.
- Maintain employee and volunteer records in accordance with YMCA policies.
Communication & Culture
- Serve as a liaison between departments to ensure smooth communication and workflow.
- Promote a welcoming and inclusive office culture aligned with YMCA values.
- Assist in the coordination of the YMCA event logistics.
- Bachelor’s degree, preferred.
- Minimum of 2 years of experience in an administrative, executive support, or project coordination role.
- Familiarity with BoardEffect is a plus.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
- Exceptional written and verbal communication skills.
- Strong organizational skills with the ability to manage multiple priorities.
- High level of discretion and professionalism in handling sensitive information.
