Vacatia, Inc. is seeking a detail-oriented and experienced Sr. HOA Financial Analyst to join our team in Fort Lauderdale. This role is critical for ensuring the effective financial management and administrative oversight of Vacatia's portfolio of managed Homeowners Associations (HOAs) at various resorts. The Sr. Analyst will focus on the meticulous analysis of cash flow projections, monitoring investment activities, and managing the performance of financial and operational systems integrations. The ideal candidate will possess a strong analytical background, experience in financial operations, and preferably, familiarity with the timeshare or resort management industry. This position will concentrate on oversight, reporting, and supporting the efficiency of existing strategies and processes.
Key Responsibilities:
- Financial Oversight & Analysis:
- Oversee, analyze, and report on cash flow projection models for multiple HOAs, providing regular updates on liquidity, highlighting variances, and supporting the identification of financial trends.
- Monitor and analyze financial statements, budgets, and reserve studies to identify deviations, assess performance against targets, and support management in understanding financial outcomes.
- Monitor the performance of HOA reserve fund investments against established strategies, ensuring compliance with governing documents and reporting on outcomes.
- Support and monitor the annual budget preparation process for HOAs, collaborating with resort general managers and accounting teams to ensure accuracy and completeness.
- Track, analyze, and report on key financial performance indicators (KPIs) to senior management and support the preparation of financial summaries for HOA boards.
- Systems Performance & Process Management:
- Oversee and support the ongoing performance and effectiveness of financial and operational systems integrations (e.g., accounting software, property management systems, banking platforms).
- Monitor financial and administrative operational processes within HOAs, identify inefficiencies, and support the implementation of approved improvement initiatives.
- Collaborate with IT and other departments to troubleshoot and ensure the smooth operation of integrated systems and data flows.
- Maintain and update documentation for financial processes, system configurations, and reporting procedures.
- Analytical & Administrative Support:
- Provide analytical support and financial insights to HOA Boards of Directors and resort management teams, focusing on data interpretation and performance monitoring.
- Support the monitoring and execution of long-term financial plans for HOAs by tracking progress and reporting on milestones.
- Ensure adherence to all governing documents, local, state, and federal regulations pertaining to HOA financial management through regular review and reporting.
- Assist in the preparation and review of materials for HOA board meetings, including financial reports, variance analyses, and operational updates.
- Collaborate with internal teams (e.g., accounting, legal, resort operations) to ensure consistent application of financial and administrative policies.
- Industry Best Practices & Compliance:
- Stay informed about industry trends, best practices, and regulatory changes in HOA management, timeshare operations, and financial management, applying this knowledge to current processes.
- Support internal audit and compliance activities related to HOA financial operations.
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
- Minimum of 3-5 years of experience in financial analysis, operations analysis, or a similar role, with a focus on oversight and reporting.
- Preference for candidates with experience in the timeshare management industry and a strong understanding of HOA financial operations.
- Proven ability in analyzing cash flow projections and complex financial data.
- Experience in monitoring investment portfolios and understanding investment reports.
- Experience with supporting and managing financial systems integrations.
- Proficiency in accounting software (e.g., Sage Intacct, QuickBooks), property management systems, and advanced Microsoft Excel skills (data analysis, modeling, reporting).
- Strong analytical, problem-solving, and critical-thinking skills.
- Excellent organizational skills with the ability to manage multiple tasks and report effectively.
- Clear and concise written and verbal communication skills, with experience in preparing reports for management.
