Job Summary:


Izzo MFT is seeking a detail-oriented and proactive Office Administrator to support our clinicians and daily office operations. This role is key to managing client referrals, maintaining organized records, attending work events, ensuring the office is clean, well-stocked, and running smoothly—all while upholding our core values: grace, collaboration, excellence, integrity, authenticity, and humor. This role emphasizes excellent communication skills, cultural awareness, and providing a welcoming and hospitable experience for our clientele.


Responsibilities: 

  • Communicate with executive administrator about daily tasks and requests
  • Respond to referrals emails and admin emails to assist any clinician or admin needs 
  • Manage the clinicians 
  • Organizes supplies - Preparing the clinicians for the day
  • Ensuring the office is fully stocked 
  • Maintaining office files and consent forms
  • Managing company equipment 
  • Attend work events
  • Client closure forms
  • Cross-checking schedules on InSync 
  • Will be there to help clinicians with any office-related needs/specific request
  • Writes checks for office supplies
  • Sending out DocuSign and mailing any hard copies requested
  • Assist with mailing any Documents requested/needed
  • Assist with incoming & outgoing faxes
  • Adding documents into InSync
  • Sending Marketing Director New Hire Information for Website and updates 
Requirements

Requirements:


• Previous experience as an Office Administrator (required).

• Proficiency in Microsoft Office and the ability to learn new systems.

• Knowledge of insurance verification processes and HIPAA requirements.

• Strong organizational skills and attention to detail.

• Ability to multitask and prioritize effectively in a fast-paced environment.

• Friendly and professional demeanor with patients and staff.

• Cultural awareness and humility to work with a diverse population.

• Familiarity with maintaining confidential records in compliance with healthcare regulations.

Salary Description
$20 / hour
