We are seeking a Marketing Coordinator for our firm. This position has the opportunity to be seated at any of our office locations throughout Wisconsin (Green Bay, Reedsburg, Madison or Milwaukee). The Marketing Coordinator supports firm wide efforts in the coordination, production and execution of proposal responses. The coordinator will also aid in presentation materials for conventions and trade shows, interviews, and other supportive materials as requested.

Requirements

Key Responsibilities:

  1. Primary contact for the company on preparing RFP/Q responses and interviews including but not limited to:
  2. Participate in meetings related to proposal submissions
  3. Assemble or create graphics, resumes, firm bios, project pages and any supplemental materials requested
  4. Work with staff to develop custom narratives for proposals, as needed
  5. Participate in quality assurance review process, including editing
  6. Coordinate timely printing process, including delivery and/or pick up and electronic submission process
  7. Work with staff to translate proposal materials into presentation and interview materials when needed
  8. Assist in presentation materials for trade shows, conferences, and other supportive materials
  9. Assist with planning trade shows, conferences, events and meetings by identifying, coordinating and assembling requirements, developing assignments and schedules, coordinating mailing lists and establishing contacts
  10. Assist with updating, maintaining and upholding company brand standards across offices including updating existing templates for firm wide standard use
  11. Assist with events and special projects as needed
  12. Assist with website updates
  13. Assist with social media content creation, maintain calendar, gather information from staff
  14. Assist with project photography coordination, logistics, and execution
  15. Prepare and coordinate company advertising needs
  16. Prepare and coordinate creation and ordering of business cards
  17. Prepare and coordinate client holiday gift list and delivery
  18. Coordinate ordering and inventory of promotional items; maintain stock and verify receipt of materials
  19. Manage collateral materials needs: communicate with staff to anticipate usage, coordinate in-house printing of cut sheets and other materials, and arrange external printing as needed
  20. Create new and revise current employee resumes
  21. Assist with revisions to templates for standard forms and reports
  22. Organize promotional activities for new products/services
  23. Communicate campaign deliverables, objectives and timelines to staff while providing instructions for promotion or use
  24. Maintain an inventory and directory of sales support materials making sure all resources are accurate and current while coordinating new material creation as needed
  25. Support future implementation and use of CRM system by gathering marketing data, assisting with setup, and maintaining accurate records once CRM is active
  26. Other duties as assigned.


Knowledge, Skills and Abilities:

  1. Excellent organizational and prioritization skills
  2. Strong writing, editing, and proofreading skills with attention to detail
  3. Marketing communications experience in copywriting, graphic design, or PR
  4. Proficient in Illustrator, InDesign, Photoshop and Graphic Design
  5. Experience managing social media platforms, including X (formerly Twitter), Facebook, Instagram, YouTube, LinkedIn, and blogs
  6. Experienced working with databases and CRM platforms preferred

Education and Experience:

  1. Bachelor’s degree in marketing, communications, English, business management and/or related fields
  2. 5 + years’ experience in marketing
  3. Construction, real estate or A/E experience strongly preferred
  4. Experience in business development and market research analysis
  5. Knowledge of industry-related marketing concepts and terms in order to read, interpret, and apply market information and trends to understand potential impacts on our businesses.
