Position Summary


The Associate Producer supports the planning and execution of live, virtual, and hybrid events. Working under the guidance of the Head of Production Operations, this role assists in coordinating production logistics, managing timelines and budgets, and ensuring seamless event delivery. Requirements

Primary Responsibilities

  • Assist in developing and maintaining production documents, including timelines, cue sheets, and show flows.
  • Manage the production budget from planning to final reconciliation, including estimating, tracking, and controlling costs, ensuring projects are delivered on time and within budget while maintaining accurate financial records and identifying cost-saving opportunities.
  • Coordinate with internal teams and external vendors to ensure timely delivery of assets and technical requirements.
  • Support logistical planning, including site visits, venue walkthroughs, and technical rehearsals.
  • Participate in client meetings, take detailed notes, and follow up on production-related action items.
  • Aid in managing A/V orders, staging specifications, and virtual platform assets.
  • Track budgets, manage invoices, and maintain organized records for each program.
  • Support contract processing, including obtaining signatures and maintaining accurate documentation.
  • Assist in onboarding freelance and vendor resources by coordinating necessary documentation and communication.
  • Collaborate with internal teams and clients to contribute creative ideas that enhance production value and audience engagement.
  • Help brainstorm and support the execution of visually impactful stage designs, presentation formats, and content delivery approaches.
  • Maintain awareness of industry best practices and emerging technologies relevant to event production.

Competencies

  • 1–3 years of experience in live or virtual event production, broadcast, or related fields.
  • Familiarity with event production elements such as A/V, staging, and run-of-show planning.
  • Highly organized with excellent attention to detail and a proactive attitude.
  • Strong interpersonal and communication skills; able to collaborate across teams and with vendors.
  • Comfortable working in a fast-paced environment with shifting priorities.
  • Proficient in Microsoft Office and Google Workspace; working knowledge of project management tools is a plus.
  • Willingness to travel domestically and internationally as needed (up to 50%).

Education and Experience

Required:

  • Four-Year College degree
  • 3-5 years of production experience
  • Knowledge of AV and production workflows is a strong plus
  • Ability to guide, motivate, and develop teams
  • Computer skills - Microsoft Outlook, Word, Excel, PowerPoint, and Salesforce

Required Travel: This position requires travel up to 50%
