What We Are Looking For:
The HR and Payroll Assistant in Human Resources is responsible for performing administrative support in a variety of functions for the Human Resources departments. The HR and Payroll Assistant provides support with the human resource processes at Corelation, Inc. This role assists in the administration of human resource services, including but not limited to, the following programs: payroll, benefits, state and federal compliance, wellness program, and employee recognition. This role provides key payroll and audit support and administrative support to the human resource function as needed, including record-keeping, file maintenance and HCM system entries.
· Provide administrative and analytical support to the Payroll Manager and Human Resources team.
· Assist with timecard review as needed to ensure accuracy and compliance.
· Provides audit support to internal and external auditors as assigned by manager (SOC, 401k, etc.).
· Provide Q&A and quality control tasks after each payroll.
· Answer basic HR and payroll questions from employees.
· Responsible for various state and federal reporting, which include CA SB 973 and EE0-1 reports.
· Purchases and posts state and federal mandated notices. Purchases any necessary posting and make visible to employees on both the Self Service portal and physical copies in either the office or mailed to out-of-state employees.
· Reconciles monthly benefit bills from various vendors. Provides the Accounting department with the breakdown in a timely manner. Keeps up with the various healthcare benefit offerings at the company. Must be comfortable and knowledgeable about the intricacies of all our medical plan options (not benefits management).
· Assists with benefits administration including monthly eligibility, billing reconciliation, open enrollment, and employee inquiries.
· Under the supervision of the Director, may assist with the company’s health and wellness program by creating engaging and healthy activities that promote a healthy lifestyle for all employees.
· Serves as the primary contact for ergonomic assessments.
· Responsible for investigating and submitting worker’s compensation claims to our commercial insurance carrier.
· Updates the worker’s compensation codes for new and existing employees when applicable. Responsible for posting the annual OSHA 300 report every March.
· Paylocity page cleanup – Quarterly update Paylocity portal for accurate and up to date content; update monthly org chart.
· Maintain the “Meet Your Corelatives” staff page.
· Coordinates the various employee recognition and reward programs. These include: monthly SPICY award, annual employee recognition, monitoring and auditing gift card distributions, and birthday/anniversary celebrations. Communicate these initiatives to employees and work with managers on their staff’s anniversary acknowledgements.
· Draft and keep relevant a Standard Operating Procedure (SOP) for all of the HR and Payroll Assistant duties.
· Using the HRCM, pull address reports in order to send staff mailings, updates, and/or supplies. Compile and modify existing HR Form templates and maintains this on the HR network drive.
· Provide assistance with employee engagement activities and work with the department by relieving HR personnel when needed.
· Maintain company employee bios, birthdays, anniversaries and other databases as assigned.
· Responsible for employment verification requests/letters.
· Process incoming mail weekly.
· Pull requested reports for management and create reports as required.
· Order sympathy flowers or gift cards for employees as needed.
· Adjust PTO for staff hired after Q1.
· Ship company swag for new hires.
· Maintain company compliance through policies, procedures, and laws.
· Performs other duties as assigned.
· Future training after 1 year: Assists when required in the recruiting process by reviewing resumes, becoming familiar with the applicant tracking system (ATS), scheduling interviews, assisting with career fairs, becoming knowledgeable about the new hire PAF workflow, conducting background/reference checks and drafting offers for candidates.
Why You Are The Perfect Fit:
Experience
One year to two years of similar or related experience. Experience with Paylocity or another HRIS system preferred. Basic payroll, accounting, audit, and/or HR experience preferred.
Education
Bachelor’s degree preferred or (1) a high school diploma or (2) completion of four specialized course of study at a business or trade school and (3) three years of job specific skills acquired through on-the-job training or apprenticeship program.
