Description

The Administrative Assistant provides daily administrative and clerical support to ensure smooth operations of the center. This role assists with enrollment, communication with families, scheduling, and general office tasks. The Administrative Assistant works closely with the Program Administrator and Assistant Center Director to ensure timely and accurate completion of tasks that support both staff and families.


Key Responsibilities:

  • Greet and assist families, visitors, and staff in a welcoming and professional manner.
  • Answer phones, manage messages, and route inquiries to the appropriate staff.
  • Assist with child enrollment, ensuring accurate records and completion of all required documentation.
  • Support attendance tracking and assist with ELC and RCMA attendance on the portal.
  • Prepare and distribute parent communications, including newsletters and announcements.
  • Assist with menu posting and updates, as well as supporting compliance with USDA and licensing documentation.
  • Help manage supplies and materials, including inventory checks and ordering support.
  • Support scheduling of events, meetings, and staff coverage as needed.
  • Provide clerical support such as filing, copying, and data entry.
  • Assist with emergency communications using systems such as DialMyCalls.
  • Participate in staff meetings and trainings as needed.
  • Perform other duties as assigned to support smooth daily operations.
Requirements

Preferred Qualifications:

  • High school diploma or equivalent (required); coursework or experience in early childhood education or office administration preferred.
  • Proficient in Microsoft Office, Canva, and email platforms.
  • Strong communication and organizational skills.
  • Ability to multitask and remain flexible in a fast-paced environment.
  • Friendly, professional demeanor with a focus on family and staff support.
  • Must meet state background screening requirements

Physical Requirements

Must be able to lift up to 15 lbs and navigate classrooms and office spaces as needed.
