Description
SUMMARY
The FSP Program Coordinator is responsible for coordinating the Family Stability Program and analyses processes. Interfaces and communicates with a. the FSP Program Director in coordinating operational interactions with Case Managers, b. leads data collection and analysis that support Program Quality Indicators, c. provides Grant Contract Management data used for the purpose of supporting provider invoicing, and engages in issue follow up and resolvement.

Essential Duties and Responsibilities: Essential duties and responsibilities include the following. Other duties may be assigned:


General functions:

  • Coordinate, oversee, and collect case manager data for use in provider invoicing. 
  • Assemble, deliver, and/or communicate data to Program Coordinator used for the construction of provider invoicing and reimbursement request; responds to Program Coordinator request for data or clarification.
  • Performs Data Quality checks on a regular basis for case manager grant timesheets, client backup documentation, and cross-referencing expenditure reports in Excel with case manager grant workbooks entries for data accuracy. 
  • data in preparation for PQI meetings.
  • Participate in FSP-PQI meetings facilitating communication and interpretation of data results. 
  • Schedule FSP team meetings; coordinate and prepare agenda with FSP Director; take meeting minutes including action items; confirm with follow up emails to FSP team members.
  • Prepare day-to-day administrative tasks; maintain information files and process paperwork. 
  • Provide and communicate general and specific FSP provider related information and directives to FSP team and follow up as needed in a timely manner. 
  • Coordinate FSP assigned vehicle logs and record keeping.
  • Develop provider relationships; interface with providers thereafter as required to clarify contract precepts, form templates, data entry and other FSP team matters.
  • Create and maintain listing of community contacts in SharePoint. 
  • Interact with FSP volunteers and appropriately develop their work schedules, assignments, and interactions with the Case Manager team. 
  • Assist Sr. Director of Programs with community and/or internal communication development using power point or other software media. 
  • Learn all software employed by Case Managers such as Charity Tracker, HMIS, Adystech, Microsoft office applications and other provider databases that record client case notes and data and pull reports from those databases. 
  • Organize and become conversant with all grant precepts and requirements that are administered and fulfilled by the Case Management team.

Education and Experience:

  • Bachelor Degree or related experience of no less than 3 years in a office. 
  • Proficient in Microsoft 365.
  • In addition, previous experience in a similar position may be preferred.
  • Program Coordinator should be proficient with basic computer software such as word processing and spreadsheet applications.
  • They must possess strong analytical skills, be organized, and pay strong attention to detail.
  • They should work well with other coordinators to reach all organizational goals, as well as on their own with minimal supervision.
  • Filing experience, a plus. Must be flexible with regard to work hours and responsibilities.

PHYSICAL ABILITIES

The working hours of this position are not limited to an 8-hour day. This person will need to be available in the evening and on weekends, as needed. Must be willing to work in conditions of stress and function well under pressure. Must be able to work longer hours to complete various tasks.
