About the Role
We’re looking for a highly detail-oriented, tech-savvy, and collaborative professional to serve as the Development & Stewardship Coordinator within our Advancement team. In this pivotal role, you’ll ensure the accuracy, integrity, and functionality of our donor database (Raiser’s Edge), enabling fundraising, events, and stewardship efforts to thrive. You’ll process and track gifts, design meaningful reports, support event and appeal logistics, and research donor prospects—all while keeping the bigger picture in view: the children and families we serve. This position reports directly to the Restricted Revenue Manager and is ideal for someone who thrives on independence, data excellence, and teamwork.
Key Responsibilities
- Database Management and Optimization: Ensure the integrity, accuracy, and consistency of Heartspring’s donor database, including funds, campaigns, and appeals. Provide training, implement best practices, and support the Advancement team in maximizing database functionality to drive impact. (Integrity)
- Reporting and Analytics: Create and maintain queries, dashboards, and reports to track fundraising performance. Analyze and interpret data to inform strategy, monitor progress to goals, and optimize productivity across the Advancement team. (Leadership)
- Event and Stewardship Support: Partner with Advancement staff to plan and execute volunteer appreciation, stewardship, and fundraising events, managing data, communications, and mobile bidding platforms. Provide accurate mailing lists, support timely outreach, and evaluate event outcomes using data insights. (Excellence)
- Gift Processing and Donor Acknowledgment: Process all gifts with care and accuracy, ensuring donors receive timely and meaningful acknowledgments. Support financial integrity through seamless reconciliation between Raiser’s Edge and Financial Edge. (Service)
- Prospect Research and Portfolio Management: Identify, evaluate, and maintain donor and prospect information to support portfolio development and gift strategy. Provide in-depth research and biographical profiles to guide engagement with major donors, foundations, and corporations. (Possibility)
- Digital Fundraising and Appeals: Plan, execute, and optimize digital fundraising campaigns and annual appeals designed to increase donor retention and revenue. Monitor and analyze campaign performance to refine segmentation, messaging, and overall outreach effectiveness. (Possibility)
- Volunteer Management: Coordinate, train, and manage volunteers to support Heartspring’s initiatives, fostering a positive experience for all participants. Maintain volunteer records. Recruit volunteers as needed. (Service)
- Professional Responsibility: Adhere to code of conduct and company policies, review published communications, escalate concerns through chain of command, and ensure confidentiality. Other duties as assigned. (Integrity)
What You Bring
- Bachelor’s degree or equivalent combination of education and experience, preferred
- Minimum 2+ years of related experience in database, development, or nonprofit support
- Proficiency with Raiser’s Edge (or similar CRM system)
- Strong written and verbal communication skills with the ability to tell a compelling story through data
- Sharp attention to detail and comfort managing multiple projects with competing deadlines
- Solid proficiency in Microsoft Office Suite, especially Excel and Word
