POSITION SUMMARY:
The Mission Specialist serves as the first point of contact for visitors, callers, and staff, providing professional, welcoming, and efficient front-desk support. This role is responsible for managing incoming calls, greeting guests, scheduling appointments and meeting spaces, and maintaining accurate records and documentation. In addition to reception duties, the Mission Specialist provides essential administrative support to the Navigation Department, including managing daily office and lobby operations, coordinating internal and external communications, organizing departmental resources, processing purchases for department-related items, and supporting the implementation of departmental initiatives.

QUALIFICATIONS:
Education:
- High school diploma, GED or associate degree.
Experience:
- Minimum of two years’ experience working front desk and general administration.
- Additionally, two years’ experience working with individuals with special needs and disabilities, or vulnerable populations who have chronic or complex conditions.
REQUIRED SKILLS:
- Bilingual English and Spanish
- Proficiency in Microsoft Office, Adobe, and networking conferencing software.
- Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
- Ability to work collaboratively and effectively in a close team environment.
- Ability to interact with funders, grantors, board members, visitors, and fellow team members in responsible, courteous manner to ensure a positive and professional environment.
- Ability to work with in a fast-paced environment.
- Ability to work independently and follow through on assignments with minimal direction.
ESSENTIAL FUNCTIONS:
- Serve as the primary point of contact for all Members, visitors, vendors, and staff within a multi-organization building, providing a professional, welcoming, and supportive front-desk experience.
- Greet visitors, determine the purpose of their visit, and direct them to the appropriate onsite organization, department, or individual.
- Manage visitor check-in and check-out processes in accordance with established protocols.
- Answer, screen, and route incoming telephone calls to the appropriate organization or staff member; provide accurate general information regarding Navigation program services and partner organizations.
- Monitor and manage the online MAC Interest List for individuals interested in Navigation program services.
- Complete MAC Pre-Screenings for individuals eligible for Navigation program services in a timely and accurate manner.
- Monitor the MAC Info and Navigation inboxes, including opening, sorting, and distributing incoming correspondence such as mail, faxes, and emails securely and efficiently to the appropriate organization, department, or individual.
- Provide general administrative support to the Navigation Department, including copying, scanning, filing, and preparing Member-related materials for team members.
- Order and maintain office supplies for the Navigation Department and shared spaces as needed.
- Support the maintenance of clean, organized, and welcoming lobby areas, including the Main Lobby and Navigation Lobby, to enhance the Member experience.
- Assist with the coordination and use of shared common spaces, including Member Quiet Rooms and Navigation Meeting Rooms, by monitoring reservations and room readiness.
- Receive, sort, and distribute incoming mail, deliveries, and correspondence accurately and promptly.
- Provide administrative support to MAC senior leadership as needed.
- Maintain confidentiality and exercise discretion when handling sensitive information related to Members, visitors, and staff.
- Use office equipment and technology efficiently, including phone systems, visitor management systems, and standard office software.
- Respond professionally to inquiries, concerns, or issues, escalating matters to appropriate staff or leadership when necessary.
- Support safety and security procedures when situations arise, in accordance with organizational guidelines.
- Perform other duties as assigned.
WORKING CONDITIONS:

- Position is based in a standard office environment with travel to meetings when directed
- Work hours are determined by operational needs and include participation in a four-schedule rotation system.
- Core business hours are Monday through Friday, 8 a.m. – 5 p.m.
- After-hour’s work required from time to time, including evenings and weekends.
- Ability to remain in a stationary position regularly, up to 85% of the time.
- Frequently move about inside the office to access file cabinets, office machinery, etc. and carry office materials and supplies up to 20 pounds.
- Constantly operates a computer and other office productivity machinery, such as calculator, phone, fax, copier, etc. and a personal computer.
- Ability to exchange accurate information in person and over the phone.

- Must have a valid Texas driver’s license and a reliable vehicle with the minimum auto insurance required by the State – must keep license and insurance current or have reliable transportation.
