General Summary
The Office Manager is exempt position holding many responsibilities in overseeing the well functioning of their medical facility, including its staffing, financing, policymaking, and patient care.
An Office Manager works to ensure the smooth running of a medical clinic or outpatient facility. A person who can take on administrative duties, to include managing clinic staff and overseeing day-to-day management operations, making sure clinic/department is running successful and efficient. Some of the duties range from hiring and training staff, Scheduling staff based on clinic and provider needs. Office Manager is responsible for assessing the staffing needs of a clinic and determining when new staff is needed. They then interview candidates hire new clinic employees and train them to meet clinic/department requirements.
Primary Duties
Develop and maintain computerized record management systems to store and process data, such as personnel activities and information, and to produce reports.
Direct, supervise and evaluate work activities of medical, nursing, technical, clerical, service, maintenance, and other personnel.
Direct or conduct recruitment, hiring, and training of personnel.
Develop and implement organizational policies and procedures for the facility or medical unit.
Conduct and administer fiscal operations, including accounting, planning budgets, authorizing expenditures, establishing rates for services, and coordinating financial reporting.
Provide outstanding customer service to clients and employees.
Other duties as assigned by management.
Address patient complaints
Billing , Mail and EOBS
Make Schedule calendar, monitor and change daily provider and staff schedule
Payroll submission per policy
Training Staff
Staff and Provider Schedule
Assist and Manage staff with coverage for vacation, call ins
Complete Inventory control and orders
Supervise, triage , schedulers and MAs
Ensure logs are compliance. Due weekly audits
Prepare for all audits
Work with insurance companies and health agencies to ensure the clinic/department is compliance (VFS, KF, Medical, etc.)
Complete staff random Audits
Knowledge, Skills, and Abilities:
Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, leadership technique, production methods, and coordination of people and resources.
Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiation, and personnel information systems.
Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
Bilingual preferred
Must have good communication skills.

Must be able to multitask. Must be able to triage patients and room quickly.

Must have good writing skills
Must know how to type fast to handle busy patients flow
Education and Experience
Must have a one year certificate from a college or technical school in medical assisting
Must have current CPR certificate or obtain within 30 days of hire
Must have one year of experience working in family practice or similar medical office
Physical Requirements
Requires typing and sitting most of the day, entering information in the computer, stocking inventory, bending to clean the office as needed.
Education and Experience
