Position Summary

While working as a Bid Coordinator (fabricated Signage), you will be the administrative "engine" behind our bidding process, ensuring that every proposal we submit to General Contractors is accurate, compliant, and on time. While industry experience in signage is not required, we are seeking a professional who understands the "language" of commercial trades. You are a perfect fit if you have a strong administrative background working for subcontractors in trades such as Electrical, HVAC, Plumbing, Fire Protection, Flooring, or Painting.


Essential Duties & Key Responsibilities 

  • Bid Management: Download and organize digital bid packages, including blueprints, project manuals, and specifications from GC portals (Procore, BuildingConnected, etc.).
  • Proposal Assembly: Coordinate the preparation and submission of formal bids, ensuring all required forms, qualifications, and company information are included.
  • Vendor & Subcontractor Coordination: Reach out to vendors and specialized subcontractors to secure pricing for materials or specific installation services.
  • Pipeline Tracking: Maintain and update the company bid log (CRM), tracking upcoming deadlines and the status of submitted proposals.
  • Compliance & Documentation: Assist in obtaining necessary insurance certificates (COIs), bid bonds, and safety pre-qualification documents for specific projects.

Qualifications


Education and/or Experience

  • Bachelor's degree preferred
  • 2+ years of administrative experience in a commercial construction or trade environment, Signage preferred. 

Computer Skills

  • Proficiency in Microsoft Excel is essential. 
  • Experience with construction software (Bluebeam, Procore, or Salesforce) is a significant plus.

Physical Demands and Work Environment

  • Physical demands: While performing the duties of this job, one is frequently required to sit at a desk and work on computer desktops. Additionally, one is regularly required to stand for prolonged periods of time. 
  • Work environment: While performing the duties of this job, the associate is regularly exposed to noise typical of an office environment such as printers, computers, and phones operating.
