Compensation: $24 to $26 per hour

Job Summary:
The AP/AR Support Specialist provides daily support to the Accounts Payable and Accounts Receivable functions across multiple entities. This role assists with invoice entry, payment processing, billing, collections outreach, reconciliations, and resolving account issues. The specialist works closely with vendors, clients, and internal teams to ensure accuracy, timely follow-up, and compliance with company financial policies. Strong attention to detail, organization, and the ability to manage competing priorities are essential.
Key Responsibilities:
Accounts Payable (AP)
- Process vendor invoices, ensuring proper coding, documentation, and approval routing.
- Support weekly and monthly payment runs, including ACH, check, and virtual card payments.
- Assist with vendor setup, W-9 collection, and maintaining accurate vendor records.
- Research and resolve invoice discrepancies, duplicates, and payment inquiries.
Accounts Receivable (AR)
- Conduct collections outreach and follow-up on past-due invoices, documenting all activity.
- Support client account reconciliations and assist Account Managers in resolving billing issues.
General Accounting Support
- Perform recurring reconciliations, including AP/AR aging reports and statement matching.
- Support month-end close by preparing reconciliations, reports, and documentation.
- Maintain accurate and organized financial records in accordance with company policies.
- Assist with financial system updates, including QuickBooks Online, Bill.com/Divvy, ARCollect, and Looker data reviews.
- Provide exceptional internal and external customer service, ensuring timely issue resolution.
Education/Experience:
- Associate’s degree or equivalent from a two-year college or technical school; or a minimum of 2 years’ experience in AP, AR, or general accounting experience.
- Experience managing up to 1500 invoices per month and ensuring accuracy in GL accounts/classes coding

- Proficient in Microsoft Office Suite, QuickBooks, Bill.com, and other accounting systems
- High level of accuracy, efficiency, detail, and accountability
- Strong skills in using and understanding the flow of transactions in an integrated and automated accounting system.

Physical Requirements:
- Must have a dedicated and ergonomic workspace at home conducive to focused work.
- Access to a stable and reliable high-speed internet connection.
- Adequate lighting and minimal background noise to support professional video calls and meetings.
- Ability to lift and carry up to 5 pounds occasionally, for tasks such as setting up a workstation or equipment.
- The ability to work comfortably and effectively in a home environment that meets ergonomic standards, including proper seating and desk setup.
