Performance Objectives (including but not limited to):
- Primary focus: offer exceptional care to each person engaging with our office.
- Monitors the schedule continuously and ensures all time slots are full at all times and clinicians time use is efficient.
- Ensures every patient leaves the office with at least one appointment scheduled.
- Greets and welcomes patients by name to the practice.
- Prepares and distributes New Patient gifts
- Ensure HIPAA protocols are followed.
- Performs a “pre-check in” and ‘pre-check out” evaluation on each patient.
- Answers the phone the RTD Way, every time.
- Assists patients in navigating their financial, scheduling, and treatment questions.
- Practices and implements “Start Saying” phrases as well as all Admin training documents.
- Provides clear and caring communication to every patient, including following up in a timely manner to emails, texts, and other messages.
- Updates patient records and ensures accurate patient information and documentation of recent treatments, procedures, and payments.
- Work as a PCC team to ensure the PCC’s checklist and rocks for the day are completed by noon.
- Understands ledgers and records payments to the patient ledger with accuracy.
- Presents treatment plans and offers the RTD financing options.
- Coordinates the referral process.
- Performs basic insurance related functions including: accurately send claims and all attachments needed, accurately explain a basic insurance break down to a patient, and accurately break down a ledger and know where balances are coming from
- Performs general office duties photocopying, filing and faxing.
- Organizes, cleans, and maintains patient waiting areas as well as front-desk areas.
- Maintains the functioning of Admin area equipment.
- Engages in actively learning all new and existing software
- To ensure all essential tasks can be accomplished, any additional duty needs clearance from the Office Specialist.

Education and Experience
- Preferred:
- Proficient in dental practice management software
- Fluent in dental terminology
- Required:
- Experience in learning and working with multiple software systems
- Expert knowledge of general administrative practices.

Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
