Job Summary:

The Inbound Logistics Coordinator is responsible for managing and coordinating all inbound freight activity for merchandise purchased from vendors and delivered to the distribution center. This role ensures that incoming loads and containers are properly scheduled, tracked, and received in a timely and efficient manner. Working closely with the Purchasing and Receiving teams, the coordinator helps maintain smooth inventory flow, supports operational efficiency, and ensures vendor compliance with delivery requirements.


Key Responsibilities:

 

  • Schedule and manage delivery appointments for inbound loads and containers in coordination with vendors, carriers, and the Receiving department.
     
  • Coordinate inbound logistics for merchandise purchased by the Purchasing department, ensuring timely delivery to the distribution center.
     
  • Communicate regularly with vendors and transportation providers regarding shipment status, delivery requirements, and scheduling changes.
     
  • Track inbound shipments from origin to delivery, proactively identifying and resolving delays or discrepancies.
     
  • Work closely with the Receiving department to align inbound schedules with dock availability and labor capacity.
     
  • Ensure accurate documentation for inbound shipments, including purchase orders, bills of lading, packing lists, and appointment confirmations.
     
  • Monitor vendor compliance with delivery guidelines and escalate issues as needed.
     
  • Update and maintain inbound shipment data in internal systems to ensure inventory accuracy and visibility.
     
  • Support problem resolution related to damaged goods, shortages, overages, or missed appointments.
     
  • Assist Purchasing with inbound logistics planning and provide visibility into delivery timelines.
     
  • Identify opportunities to improve inbound logistics processes and efficiency within the distribution center.


Requirements:

  • Inbound logistics, transportation coordination, or purchasing support experience in a similar industry or role is preferred.
  • Familiarity with supplier/vendor management, inventory, and sourcing strategies.
  • Experience using procurement software (e.g., SAP, Oracle, or other enterprise resource planning systems).


Skills and Competencies:

  • Bilingual Communication Skills: Strong verbal and written communication skills in both English and Spanish to interact with vendors, internal teams, and stakeholders.
  • Attention to Detail: Ensuring accuracy in purchasing orders, contracts, and pricing.
  • Time Management: Ability to manage multiple tasks and projects simultaneously while ensuring deadlines are met.
  • Problem-Solving: Resolving any issues with orders, suppliers, or inventory.
  • Customer Service Skills: A focus on building and maintaining relationships with vendors, suppliers, and internal teams.
